What this says
As at Fri 9 Oct 2026Kickoff for Stainmore Haulage's four-week implementation. Aaron Graham is admin and owes credentials, with IT sign-off from Dave needed. Go-live is set for end of December, with training handover in the first week of January.
What happened: Callie Brennan set out a four-week plan covering Xero, Outlook, Roadway and Snowflake. Aaron Graham is the main contact and owes credentials for each system.
Customer view: Aaron said "That's pretty impressive, actually. I can see how we'd use this." Shirley Bowman expects three or four office users plus a couple of drivers.
Commercial: Marcus Bell noted fifteen users are licensed, which is the limit. Expected usage sits inside that, so there is no upgrade signal yet.
Watch: Written sign-off from system owners is needed, and Shirley pointed Aaron to Dave in IT. Go-live was moved to end of December with training in early January because of the holiday week.

Transcript
- Callie BrennanRight, good morning everyone. I'm Callie, the implementation consultant. Marcus is here from the success team. We're going to walk through the plan for the next four weeks and make sure we've got everything we need from your side.
- Callie BrennanHere's the plan. Week one, I get access to your systems: Xero, Outlook, Roadway, Snowflake. We test the connections and make sure we can pull data cleanly. Weeks two and three, we map fields, run the first refresh, and make sure everything's working. Week four, we hand it over and train your team.
- Aaron GrahamOkay. So I'm the admin here. What do I need to do?
- Callie BrennanYou're my main contact, Aaron. What I need from your side is access credentials for each system, Xero API key, Outlook admin details, Snowflake login, Roadway export. I'll send you a checklist today of exactly what I need.
- Aaron GrahamWill I be able to get all of that?
- Callie BrennanBefore we switch on the refresh, we need written sign-off from whoever owns each system. Usually that's IT or the finance team. Snowflake especially, that's a Snowflake admin decision.
- Shirley BowmanAaron, you're going to need to talk to the IT people. That's probably Dave.
- Aaron GrahamAlright, I'll sort that. When do you need it?
- Callie BrennanIdeally by end of next week, Friday, but if you get it to me by end of the following week, that's still fine for our timeline. What I really don't want is to get to go-live week four and find out a credential doesn't work.
- Marcus BellI'm going to be your main point of contact once Callie hands over. Just wanted to say hello and make sure you've got my number. Any issues down the line, any questions, give me a ring.
- Shirley BowmanGood, thanks. So after four weeks, what does that look like for us?
- Callie BrennanYou'll have a live instance of the brain in your Snowflake. You can log in, ask questions, build dashboards. We'll have done a full refresh of your data. You'll have a setup guide for maintaining it, mainly updating credentials if passwords change.
- Aaron GrahamAnd refreshes are automatic after that?
- Callie BrennanEvery night. Complete by seven in the morning your time, business days. If something goes wrong, a connector stops syncing, that's a support ticket and we'll look at it.
- Shirley BowmanAnd this can search across everything? The calls, the emails, the jobs?
- Marcus BellYeah, everything connected. You can ask 'which customers paid in the last month' or 'jobs that are overdue and not contacted'. Whatever you want.
- Aaron GrahamThat's pretty impressive, actually. I can see how we'd use this.
- Callie BrennanThat's good to hear. Okay, so next step from me, I'll send you that credentials checklist today, Aaron. Get those back to me by Friday of next week if you can. I'll kick off the technical work and we'll have a check-in next week.
- Shirley BowmanSounds good. What else do we need to do?
- Marcus BellJust think about who else might use this. You've got fifteen users licensed, that's your limit. Doesn't mean everyone will use it on day one, but we want to get them set up so the opportunity's there.
- Shirley BowmanYeah, we've probably got about three or four people in the office who'd be interested, plus a couple of the drivers if they could ask questions.
- Marcus BellGood. We'll get those accounts created during implementation. I'll reach out after handover with training materials and a guide on how to get the most out of it.
- Callie BrennanAlright. I think we're clear on the plan. Let me confirm the dates, today's kickoff, credentials by Friday. Then I'm working on integration through weeks two and three, and go-live is Friday, end of the month. Does that work?
- Aaron GrahamFriday end of the month, that's end of December, isn't it?
- Callie BrennanIt is, yeah. I know that's a bit tight with the holidays, but it's doable. We can always do the training handover into early January if you need a break.
- Shirley BowmanWe'll probably take a week off between Christmas and New Year, so maybe after that? Can we flex it to early January?
- Callie BrennanAbsolutely. So go-live is end of December, data's all live, and we do the formal training handover first week of January. That maps cleanly.
- Marcus BellWorks for us. That gives everyone breathing room.
- Aaron GrahamRight, I think we're good to go. I'll sort the credentials.
- Callie BrennanThanks, Aaron. I'll send that checklist today. Any questions before we wrap?
- Shirley BowmanNo, that's all clear. Thanks, Callie. Thanks, Marcus.
- Callie BrennanThanks, all. Speak soon.
- Marcus BellCheers.
