What this says
Current to 13 Oct 26Onboarding call on 16 Jan 2025 with Aisha and Ryan. Agreed three first sources, written access per source, a header-row field list, and only two initial users until pages exist.
What happened: Callie Brennan walked through the first-wave sources: referrals, the helpdesk and the accounting system. Ryan Heslop flagged that referrals may be an export rather than a live connection, and will check whether the file layout is stable.
Customer view: Aisha Bukhari wants a turnaround view per trust she can defend. She wants patient-identifiable fields excluded at the point of loading and a written field list before go-live.
Commercial: Growth gives eight connectors and the dashboards builder, which Ryan will use for the per-trust view. Forty users are licensed, but only Ryan and Aisha start, so adoption depends on the first pages being useful.
Watch: Access for accounting and the database depends on colleagues in finance and IT.

Follow-up
Next steps
Current to 9 Oct 26- Ryan Heslop emails Callie Brennan who is doing which access, today or tomorrow at the latest.
- Ryan Heslop sends the header row of the referrals export and checks whether the layout has moved.
- Callie Brennan writes the field list into the setup note and checks access progress the following week.
Risks
Current to 9 Oct 26- The referrals source may be an export with unstable columns, which could break the mapping.
- Access for accounting and the database depends on finance and IT colleagues agreeing in writing.
- Only two users start, so a weak first view could stall wider adoption of the forty licensed seats.
Opportunities
Current to 9 Oct 26- The dashboards builder on Growth lets Ryan put a per-trust turnaround view in front of contract managers.
- Contract managers and finance are a pool of further users once the first pages are up.
Transcript
- Callie Brennan NoneMorning, both. Can you hear me alright?
- Ryan Heslop NoneYes, loud and clear. Morning, Callie.
- Aisha Bukhari NoneMorning. Sorry, I'm just getting my camera to behave. There we are. Can you see me?
- Callie Brennan NoneI can, lovely. How's Newcastle this morning?
- Aisha Bukhari NoneGrey and bitterly cold, so quite normal for January. Ryan's got the only decent window in the building.
- Ryan Heslop NoneIt's mostly a view of the car park, to be fair.
- Callie Brennan NoneHa, well. Right, so here's the plan for the next forty minutes or so. First, I want to walk through the sources we're going to connect and agree an order. Second, what I need from your side is access, in writing, for each of those sources. And third, we agree who owns what before we switch on the refresh. Does that sound sensible?
- Aisha Bukhari NoneThat sounds right. And can I add one thing at the end? Information governance. I'd like us to be clear what goes into the brain and what doesn't. No surprises for the trust.
- Callie Brennan NoneAbsolutely, we'll put that as item four. It's usually the one that gets squeezed, so thank you for flagging it.
- Callie Brennan NoneSo, sources. From the order form you're on Growth, which gives you room for eight connectors, and I've got three in my notes that matter most to the contract managers. Referrals, the helpdesk where the reporting turnaround tickets sit, and the accounting system for invoices. Have I missed anything you'd want in the first wave?
- Ryan Heslop NoneThat's the right three. Referrals is the awkward one, though. I think it's more of an export than a live connection, but I'd want to check that before I promise anything.
- Callie Brennan NoneOkay, that's useful. I'd rather know now. If it's an export, we can have it land on a schedule in your Snowflake account and map it from there. It maps cleanly as long as the columns are stable. Is the layout likely to change?
- Ryan Heslop NoneNot that I know of. Mm. I'd say it's been the same for a while, but I wouldn't swear to it. I'll look at the last few files.
- Callie Brennan NonePerfect. That's an action for you, Ryan, and I'll note it. Don't need it perfect, I just need to know whether the headers move around.
- Aisha Bukhari NoneCan I ask what the contract managers will actually see on day one? Because, let's see the turnaround figures, that's what the trusts keep asking me for. Reporting turnaround by trust, next to the referrals and what we've invoiced.
- Callie Brennan NoneThat's exactly the picture we're building towards. Day one, honestly, is plumbing. Once the first refresh lands and I've checked the mapping, we build the first pages together, and the dashboards builder on Growth lets Ryan put a turnaround view per trust in front of the managers.
- Aisha Bukhari NoneGood. I'd rather it was right than quick. I don't want to show anyone a number I can't defend.
- Callie Brennan NoneUnderstood, and I won't call a mapping done until I've checked it against a handful of real records. I never say it should be fine unless I've looked.
- Ryan Heslop NoneOn access, who do you need? I can set up a read-only account on the helpdesk myself, but accounting is a colleague in finance, and anything in the database is a colleague in IT.
- Callie Brennan NoneRight, that's the bit I'll put in the setup note. For each source I need a named person, a read-only credential, and a note that it's been agreed in writing. I won't start a connector without that. Could you send me an email listing who is doing which?
- Ryan Heslop NoneYes. I'll do that today, or tomorrow at the latest, once I've caught the others.
- Aisha Bukhari NoneAnd I'll have a word with finance myself. They tend to say yes faster if it comes from me rather than as an email from Ryan, no offence.
- Ryan Heslop NoneNone taken, that's accurate.
- Callie Brennan NoneBrilliant, teamwork. Now the governance point. Aisha, what's your worry specifically? Patient details?
- Aisha Bukhari NoneYes. The trusts are very clear that identifiable patient information doesn't leave the systems it belongs in. Referrals will have fields that are fine and fields that are definitely not. I'd want those excluded at the point of loading, not hidden afterwards.
- Callie Brennan NoneThat's the right way round. What we'd do is agree a list of fields to bring in and leave everything else behind, so the brain never holds the rest. Ryan, could you mark up a sample of the referrals export with the columns you'd want, and I'll check it against what the contract managers need?
- Ryan Heslop NoneYes, I can do that. Probably simpler if I send you just the header row, no data at all.
- Callie Brennan NoneEven better. Header row only, that's perfect. It keeps it clean for everyone.
- Aisha Bukhari NoneGood. I'll still want to see the field list written down before we go live. I'll take it to our information governance lead.
- Callie Brennan NoneOf course. I'll write it up in the setup note so it's something you can hand over. Now, users. You have forty licensed. Who's going to be in first?
- Aisha Bukhari NoneFor now it's really just Ryan and me. The contract managers come in once there's something worth looking at. I don't want forty people logging in to an empty screen and deciding it's not for them.
- Callie Brennan NoneSensible. A quiet first few weeks is normal, and I'd rather your managers met a brain that already answers a real question. So we hold the invitations until the first pages are up.
- Ryan Heslop NoneOkay. And who looks after it afterwards? Because I'll be the admin, I think, and I'd like to know I'm not on my own with it.
- Callie Brennan NoneFair question. My aim is to leave you able to run things alone, so you'll get a setup note and a walkthrough of the admin screens, and after that Marcus Bell is your customer success manager and Lewis Kerr stays on the commercial side. You won't be stuck.
- Aisha Bukhari NoneThat's reassuring. Right, I think we've covered what I wanted. Ryan?
- Ryan Heslop NoneI think so. Just the referrals question, the access list and the header row. Is that everything?
- Callie Brennan NoneThat's it. I'll send a short summary this afternoon with dates against each step, and I'm pencilling us in again next week to check where the access has got to. Thanks both.
- Aisha Bukhari NoneThank you, Callie. Speak soon.
- Ryan Heslop NoneCheers, bye.
