What this says
As at Fri 9 Oct 2026Femke van Gestel and Bas Kuijpers asked who sees what, how sources are added and who notices a stale load. Priya Raman said Growth is pencilled in at £56k, with a target of 10 Nov 2025 if the review is comfortable.
What happened: Hannah Lowe ran the 26 Aug 2025 demo on Brinkerhof Distributie's sample data. She showed that the brain respects the roles set on the underlying Snowflake tables, so there is no second permission set.
Customer view: Femke asked "What is the plan when it goes stale? Who tells us?" Bas said a previous tool went unnoticed for weeks. Hannah said she would not promise alerts are automatic in every case, and Femke replied that she prefers honest.
Commercial: Priya said Growth covers the connectors and users described, with £56k pencilled in for the whole deal. Femke set the order as security and IT first, then the budget holder.
Watch: the budget holder was not on the call and the evidence does not show who that is. A file source and unannounced ordering system changes are the likely causes of a flat load, so a named contact for system changes was agreed as a line in the plan.

Next steps
As at Fri 9 Oct 2026- Hannah Lowe to send Bas Kuijpers, copying Femke van Gestel, a write-up of roles, the file source caveat and the change process.
- Agree a named contact on the customer side for system changes.
- Priya Raman to keep the 10 Nov 2025 target tied to the security and IT review.
Risks
As at Fri 9 Oct 2026- A stale or flat source could go unnoticed, which is the customer's stated worry from a previous tool.
- The budget holder is behind a security and IT review and was not on the call.
- The 10 Nov 2025 target depends on the review being comfortable first.
Opportunities
As at Fri 9 Oct 2026- Growth is pencilled in at £56k for the whole deal if the review goes well.
- The one-permission-set answer removes a likely IT objection.

- Femke van GestelHello all. Good afternoon. Before we start, last time Bas asked for the connector list and the permissions model. Did we get that?
- Priya RamanAfternoon Femke, afternoon Bas. Yes, that went across just after the last call, and Hannah is here today to go deeper on exactly that. Hannah, over to you.
- Hannah LoweThanks Priya. Hello both. Before I share anything, what do you most need to know today? I'd rather answer your questions than walk through slides you don't need.
- Bas KuijpersFor me, three things. Who can see what. How a new source gets added. And what happens when a source changes, because our ordering system does change.
- Femke van GestelFor me one thing. Can an account manager see only their own installers? Or everyone's?
- Hannah LoweGood. Let me take Femke's first because it shapes the rest. The short answer is yes, you can scope what a person sees. The longer answer is that it depends on how your source data is already organised, so to be precise, I need to show you where that comes from.
- Femke van GestelOkay. Show me.
- Hannah LoweSharing now. This is a role view on your sample. Here's a user in the account manager group. The brain respects the access you set on the underlying tables in Snowflake, so if an account manager's role only has their region's installers, that's what the chat can answer from. It doesn't open anything new.
- Bas KuijpersSo I set the roles. You don't have a second set of permissions that I forget about.
- Hannah LoweRight. One set, yours. There are some settings in the product itself for pages and dashboards, but the data boundary is the one you already control. I'll put that in writing so it's not just my word on a call.
- Priya RamanAnd that's the sort of thing that makes this easy for IT, to keep momentum with the review.
- Femke van GestelMm. Fine. Now the second one. Bas, your questions about new sources.
- Bas KuijpersYes. Say we want to add the credit control spreadsheet. It is not a system, it is a file that a colleague updates.
- Hannah LoweUnderstood. Files can be a source, but I'd be honest, they're the least reliable kind. If the colleague renames a column the load can break. So my advice is we agree the layout, you tell us who owns it, and we set a check so a flat load gets noticed. A flat load, meaning the record count doesn't move for a few days.
- Bas KuijpersThat is useful. We had this problem with another tool. Nobody noticed for weeks.
- Femke van GestelThis is my worry also. What is the plan when it goes stale? Who tells us?
- Hannah LoweTwo layers. In the product you can see when each source last loaded and how many records came in. And once you're a customer, your customer success lead looks at that trend with you at the quarterly review, so a quiet source gets raised early. I wouldn't promise it's automatic for every case. Sorry, that's the honest version.
- Femke van GestelI prefer honest. Good.
- Priya RamanCan I add one thing on the commercial side, then I'll leave you to it. Growth covers the number of connectors and users your team described, and the total we've pencilled in is £56k for the whole deal. I'd like to have this over the line by 10 Nov 2025, but only if the review is comfortable first.
- Femke van GestelYes. Security and IT first. Then the budget holder. In that order.
- Bas KuijpersOne more technical. When our ordering system changes a field, who fixes the connector?
- Hannah LoweUsually it's a joint job. If you tell us before the change, it's quick, we adjust the mapping. If it changes without warning, we see the load go flat or fail and we raise it. The sooner we know, the shorter the gap. If you can give me a named contact on your side for system changes, that helps more than anything else.
- Bas KuijpersThat will be me, probably. Or a colleague in IT.
- Hannah LoweLet's make that a line in the plan. I'll write up what we covered today: the roles, the file source caveat, and the change process. Bas gets it, Femke is copied.
- Femke van GestelGood. Anything else, Bas?
- Bas KuijpersNo. That's what I needed. Thank you, Hannah.
- Hannah LoweThanks all. Speak soon.
- Priya RamanBest from me too. Thanks everyone.
