What this says
As at Fri 9 Oct 2026Kickoff for Pentreath Cold Chain on Growth. Wave one is helpdesk, CRM and order system. The order database is the risk: access is limited to two people and needs written sign-off before Callie Brennan starts.
What happened: Callie Brennan walked Kerensa Trelease and Matt Colenso through the Growth set-up, with fifty licensed users and eight connectors. Wave one is the helpdesk, the CRM and the order system, with the accounting system in wave two.
Customer view: Kerensa wants account managers to see temperature excursion tickets, orders and contract review notes together. She does not want the brain to depend on her, and asked who owns it day to day.
Commercial: This is the start of the first term, so early value matters. Kerensa expects to hold back some users for weeks, which means usage will lag the licence.
Watch: The order database is old and only two people can touch it. Callie will not start that connector without written access and a named sign-off, and the admin on the customer side is still to be confirmed.

Next steps
As at Fri 9 Oct 2026- Matt Colenso to send written read-only access and the sign-off name for the order database today or tomorrow.
- Callie Brennan to send the ticket category list, a mapping sample and the first checkpoint.
- Daniel Okafor to run fortnightly check-ins and chase the sign-off if needed.
Risks
As at Fri 9 Oct 2026- The order database connector depends on written access and a sign-off name from a customer team with limited capacity.
- No named admin yet, so day-to-day ownership could fall back on Kerensa Trelease.
- Many licensed users will not log in for weeks, so early usage may look low against the Growth allowance.
Opportunities
As at Fri 9 Oct 2026- A working excursion, order and contract view for account managers gives a clear value case for the first renewal.
- Wave two connectors, starting with the accounting system, can deepen use within the Growth limit of eight connectors.
Transcript
- Daniel OkaforGood morning, everyone, and thank you for making the time. Let me just check who's with us. Kerensa, I can see you. Matt, you've joined, welcome.
- Matt ColensoMorning. Yes, I'm here. Sorry, I'm in the server room, so the line might drop.
- Kerensa TreleaseMorning, Daniel. Morning, Callie. Happy new year, all.
- Daniel OkaforAnd to you. How was the break? Did you manage to switch off?
- Kerensa TreleaseNot entirely. There was an excursion over the break, a chiller fault, so I've had my phone in my hand since. Resolved now, the client knew before they could ask.
- Daniel OkaforThat sounds like you. Right, I'll hand over to Callie, who'll be running the next hour.
- Callie BrennanThanks, Daniel. Here's the plan for the hour. First, a quick recap of what you've bought. Second, the connectors and who owns each. Third, what I need from your side before we switch on the refresh. And last, dates and the first checkpoint. Does that work?
- Kerensa TreleaseWorks for me. Short sentences please, Matt has a pile of other things.
- Matt ColensoI'll manage. Go on.
- Callie BrennanSo, you're on Growth, with fifty licensed users and the contracted annual figure of £43,100. Growth includes eight connectors, and I'd like to use them carefully, not all at once.
- Kerensa TreleaseWhich ones first? What matters to my account managers is the temperature excursion tickets, then orders, then the contract review notes.
- Callie BrennanThat maps cleanly. So wave one is the helpdesk for the excursion tickets, the CRM for contracts and client records, and the order system. Wave two would be the accounting system and anything else you want later.
- Matt ColensoHold on. The order system is the awkward one. It's an older database and we only let two people near it.
- Callie BrennanUnderstood, and that's useful to know now rather than later. Who are the two?
- Matt ColensoMe and one of the analysts. I'd rather it was me doing the setup, to be honest.
- Callie BrennanFine. What I need from your side is a read-only account on that database, written access from you, and the name of whoever signs it off. I won't start a connector without it in writing.
- Matt ColensoWritten, yes. I'll email it today if the sign-off person is in. Otherwise tomorrow.
- Daniel OkaforJust to close the loop on that, Matt, if you tell me who signs it off I can chase it from our side as well. No point in you being the only one pushing.
- Matt ColensoThanks. That would help.
- Kerensa TreleaseCan I ask about the users? Fifty seats, but not everyone needs to log in on day one. Some of my team aren't going to touch it for weeks.
- Callie BrennanThat's normal. We'd start with the account managers and your own team, and invite the others once the first pages are useful. You'll see usage climb after the first refresh.
- Daniel OkaforAnd I'll come back to you each fortnight in the early weeks, asking how the team is finding it. If people are stuck, I'd rather hear early.
- Kerensa TreleaseGood. Facts before feelings, so if you ask me I'll show you the numbers.
- Matt ColensoSecurity question while I think of it. Where do the credentials actually sit once you've got them?
- Callie BrennanIn your Snowflake account, not ours. BG-Demo runs inside it, so the data stays under your controls. I'll note the exact setup in the handover note so you can show it to anyone who asks.
- Matt ColensoRight, that's what I needed to hear. Thanks.
- Callie BrennanSo, the helpdesk. Matt, do you have admin there, or is it Kerensa's team?
- Kerensa TreleaseMine, but Matt can grant access. We have a couple of ticket categories that are internal and shouldn't go in. Excursion tickets yes, staff HR queries no.
- Callie BrennanGood catch. I'll list the categories I plan to bring in and you tell me what to drop. I'll send the list tomorrow so you can mark it up.
- Kerensa TreleaseDo. I'll do it the same day.
- Daniel OkaforCallie, could you say a little about what the first week looks like, so Matt can plan around the refresh?
- Callie BrennanOf course. Before we switch on the refresh, I run the field mapping against a sample, and I check it with Kerensa's team. Then the first full load runs overnight, and I look at the record counts the next morning. That's the first checkpoint, probably the end of next week if credentials arrive on time.
- Matt ColensoAnd if the load is slow? The order database isn't quick.
- Callie BrennanThen we run it out of hours and tune it. I'd rather it was slow and right than fast and wrong.
- Kerensa TreleaseOne more from me. Who owns the thing day to day once it's live? I don't want it to depend on me.
- Daniel OkaforThat's a good thing to settle now. Callie will leave Matt able to run the connectors alone, and I'd suggest one named admin on your side for adding users and pages. Do you have someone in mind?
- Kerensa TreleaseOne of the analysts, I think. I'll confirm tomorrow.
- Callie BrennanRight, let me read back the actions. Matt, written access and a sign-off name, today or tomorrow. Kerensa, mark up the ticket categories and name an admin. Me, the category list, a mapping sample and the first checkpoint. Daniel, the fortnightly check-in and chasing the sign-off if needed.
- Matt ColensoThat's all fine.
- Kerensa TreleaseAgreed. Quick and clear, thank you.
- Daniel OkaforThank you both. I'll come back to you by the end of the week with a note of where we've got to.
- Callie BrennanThanks, everyone. Speak soon.
- Kerensa TreleaseCheers, all.
