Lewis Kerr walked Sara Forsberg and Gustav Åberg, CFO, through a Starter proposal. Sara called the price reasonable and Gustav will review the numbers. No signature is shown; a draft order form was to follow.

What happened: Lewis presented a Starter proposal to Sara and Gustav on 15 Jan 2026. Gustav asked about cost, price flexibility, exit rights, adding users and service levels.

Customer view: Sara said the price is reasonable and the scope covers what they need. Gustav agreed and will think about the numbers, and Sara will loop in anyone else who must sign off.

Commercial: Year one was quoted at twenty-five thousand five hundred pounds, implementation and licence together, with the renewal rate left to be agreed. The Starter list for new business is £22k from 1 Dec 2025, so the quote basis should be checked.

Watch: Lewis described dashboards as included and service credits for refresh targets, but Starter credits cover availability only. The call does not show whether an order form was signed.

Follow-up

Next steps

As at Fri 9 Oct 2026
  • Lewis Kerr to send a clean proposal PDF and a draft order form to Sara and Gustav.
  • Lewis Kerr to check the quoted Starter price and the dashboards and credit wording against the price book before the order form goes out.
  • Sara Forsberg to bring in any other internal signers, and Gustav Åberg to send questions on the numbers.

Risks

As at Fri 9 Oct 2026
  • Gustav has not yet confirmed the numbers and Sara still needs internal sign-off, so timing is open.
  • Lewis described service credits for data refresh, but Starter credits cover availability only, which could cause a dispute later.
  • The renewal price was left to be agreed, which Gustav may press once he reviews the commitment.

Opportunities

As at Fri 9 Oct 2026
  • Sara asked about adding users and teams later, which points to Growth or add-on demand after go-live.
  • Both Sara and Gustav signalled the offer is close to acceptable, so a prompt draft order form could close it.

    Lewis Kerr
Afternoon Sara and Gustav, thanks for getting together. I hope you both had a good turn of the year.
  2. Gustav Åberg
    Gustav Åberg
Yes, thanks. A bit mad in the office, but that's normal at this time.
  3. Sara Forsberg
    Sara Forsberg
    Same here.
  4. Lewis Kerr
    Lewis Kerr
So the reason I wanted to get you both on the line is to walk through the proposal we sent over and make sure it covers everything you need. I'll run through the key points, and then I'd love to hear any questions you've got.
  5. Gustav Åberg
    Gustav Åberg
    Right. Go ahead.
  6. Lewis Kerr
    Lewis Kerr
Okay, so as you know, Ekholm's growing, and getting a real-time view of project profitability is key to that growth. The proposal is for Starter, which gives you fifteen users, four connectors: we'd connect your CRM, the helpdesk, calls, and emails: and you get access to search, chat, and dashboards. Nightly data refresh. Ninety-nine point five per cent uptime.
  7. Sara Forsberg
    Sara Forsberg
And Hannah showed us some of that in the demo.
  8. Lewis Kerr
    Lewis Kerr
Exactly. And I think you got a sense of how much time you'd save day-to-day. The implementation is four weeks. Hannah's team would be the ones running that, and it's their job to make sure you're live and happy by the end of week four.
  9. Gustav Åberg
    Gustav Åberg
    Okay. What's the cost?
  10. Lewis Kerr
    Lewis Kerr
Year one all-in is twenty-five thousand five hundred. That's the implementation and the first year's licence together. After that, the annual renewal is at the Starter rate, which we'll agree at renewal time.
  11. Gustav Åberg
    Gustav Åberg
And what's included in that twenty-five thousand five hundred?
  12. Lewis Kerr
    Lewis Kerr
So the setup is fixed, which is four weeks of Hannah's team and support getting everything live. The rest is year one's licence. The service includes nightly data refresh, uptime guarantee, and a check-in every six months to make sure you're getting value.
  13. Gustav Åberg
    Gustav Åberg
    Is that price fixed?
  14. Lewis Kerr
    Lewis Kerr
Yes, that's fixed. We're not charging more if it takes us four weeks or if you need extra support during the implementation. That's all baked in. The offer is good through the twentieth of February, and once we have a signed order form, we'd kick off the first week of March.
  15. Sara Forsberg
    Sara Forsberg
And the contract, how long is that for?
  16. Lewis Kerr
    Lewis Kerr
It's for one year, renewable annually. You've got a ninety-day renewal notice, so we'd touch base with you in October next year to talk about year two.
  17. Gustav Åberg
    Gustav Åberg
Is there any flexibility on the price?
  18. Lewis Kerr
    Lewis Kerr
The price I've quoted is our standard Starter price for new customers. There's limited room for a discount on the first year, but that wouldn't apply after renewal. What we typically do is make sure the price is fair and that you're going to see value from the implementation. If you have specific concerns about the investment, let me know and we can talk through it.
  19. Gustav Åberg
    Gustav Åberg
Okay. What if we decide it's not working six months in?
  20. Lewis Kerr
    Lewis Kerr
That's a fair question. The contract is annual, so you'd see it through to the end of year one. But we've found that once customers are live and using the brain, they see pretty quick payback on the investment, time saved day-to-day. We'd be checking in with you regularly to make sure that's the case for you.
  21. Sara Forsberg
    Sara Forsberg
And if we wanted to add more users later, or bring in more teams?
  22. Lewis Kerr
    Lewis Kerr
Very straightforward. You can add users or connectors at any time. We'd pro-rate the cost for the rest of the year. So if you added five connectors in June, you'd pay a proportion of the connector cost for the remainder of the year, and that would carry over into year two.
  23. Gustav Åberg
    Gustav Åberg
Okay. And these service levels, the uptime and the data refresh, those are guaranteed?
  24. Lewis Kerr
    Lewis Kerr
They are. We have service credits in the contract, so if we miss those targets, you get a percentage credit back on your annual fee.
  25. Sara Forsberg
    Sara Forsberg
I think we need to have a conversation internally about this.
  26. Lewis Kerr
    Lewis Kerr
    Of course.
  27. Sara Forsberg
    Sara Forsberg
But I think this is the right thing for us. The price is reasonable, the scope seems to cover what we need, and the team seems competent.
  28. Gustav Åberg
    Gustav Åberg
I'd agree. Let me think about the numbers and I'll get back to you with any questions.
  29. Lewis Kerr
    Lewis Kerr
Perfect. So what I'll do is send you a clean PDF of the proposal, and also a draft order form. Once you've both reviewed that and you're comfortable, we can move to signature.
  30. Gustav Åberg
    Gustav Åberg
How long does the order form process usually take?
  31. Lewis Kerr
    Lewis Kerr
From signature to live is about three weeks of back-and-forth: any legal questions you might have, tech scoping, making sure everything's locked down. Then the four-week implementation starts.
  32. Sara Forsberg
    Sara Forsberg
Okay. I think we're close. Let me loop in whoever else might need to sign off internally, and I'll come back to you.
  33. Lewis Kerr
    Lewis Kerr
Great. And if there are any questions in the meantime, you know where to find me.
  34. Gustav Åberg
    Gustav Åberg
    Thanks, Lewis.
  35. Lewis Kerr
    Lewis Kerr
Cheers, both of you. Speak soon.
