What this says
As at Fri 9 Oct 2026On the 23 Feb 2026 renewal call, the CFO checked the contract against invoices and asked what changes. She also queried 40 licences against about a dozen active users and wants an adoption plan before signing.
What happened: Marcus Bell hosted the renewal call with Tom Ashdown. Marloes Hendriks, Wouter Kok and Pieter van Dam attended for Brakkevoort Logistics.
Customer view: Marloes confirmed that the order form and paid invoices match at £44k for Growth, with nothing overdue. She wants quarterly in advance stated on the renewal order form, not left to expectation.
Commercial: Tom expects no change at renewal but said he would confirm it on the paper. The term runs to 31 Mar 2026 and the target for signature is 16 Mar 2026.
Watch: Marcus put active users at a bit above a dozen against 40 licensed. Marloes asked for an adoption plan with names before signing, which makes it a condition of the renewal. Pieter says the renewal is not in doubt from his side.

Follow-up
Next steps
As at Fri 9 Oct 2026- Tom Ashdown to send the draft order form this week, stating quarterly in advance and the user and connector counts on the front page.
- Pieter van Dam to send Marloes Hendriks and Wouter Kok the adoption plan with names before the order form is signed.
- Marcus Bell to send Wouter the current connector list and book a session with the team leads this week.
Risks
As at Fri 9 Oct 2026- About a dozen active users against 40 licensed makes the Growth subscription hard for the CFO to justify without an adoption plan.
- Signature depends on the renewal order form matching the current terms, including quarterly billing in advance, and on the adoption plan arriving first.
Opportunities
As at Fri 9 Oct 2026- A plan to bring in more account managers and planners could deepen use of the 40 licences and support the renewal.
- A short session with the team leads on the exception tickets view could widen adoption without a training day.
Transcript
- Tom AshdownMorning, all. Can everyone hear me alright? Pieter, how's your week been so far?
- Pieter van DamMorning Tom. Busy, but good. Mondays are always full for us. I can hear you fine.
- Marcus BellMorning everyone. Sorry, bit of lag on my side, I've just joined. Can you see my screen? No, hang on, I haven't shared yet.
- Tom AshdownNo drama, Marcus. We're waiting on one or two more anyway. Marloes, are you with us?
- Marloes HendriksGood morning. Yes, I am here. I have the order form open, and the invoices. Wouter is also joining.
- Wouter KokMorning all. Sorry, I was in another meeting. I'm here now.
- Tom AshdownBrilliant, that's everyone. So this is the renewal call. Nothing scary. Marcus, do you want to say what we'd like to cover so it doesn't ramble?
- Marcus BellSure. Happy to. Right, I'm sharing now. Can you see the contract summary? Good. I want to cover three things. Where the contract stands, how the brain has been used this year, and what we need from each of you to get the renewal signed before the end date.
- Marloes HendriksBefore that, if I may. I have checked the figures. The order form states Growth at forty-four thousand a year. The invoices we have paid total the same. There is nothing overdue on our side. Is that also your understanding?
- Marcus BellYes, that matches what I have. Contracted, invoiced, all forty-four thousand. And the term runs to 31 Mar 2026, so the renewal starts on 1 Apr 2026.
- Marloes HendriksGood. Then my question is simple. Does anything change at renewal? Price, terms, billing.
- Tom AshdownThat's my one, I'll take it. So, from what I've got in front of me it's the same forty-four thousand, Growth, same terms. I don't like quoting from memory, so I'll confirm that in the renewal order form when it goes over. But you signed on the original price list, and this renewal lands before the new one applies to existing customers, so I'm not expecting a change.
- Marloes HendriksI do not need expectations. I need it on the order form. Quarterly in advance, as agreed. That must be stated, the same as the current contract.
- Tom AshdownUnderstood. Quarterly in advance, in writing. Leave that with me.
- Wouter KokCan I add something on the invoicing side? When we reconcile, we match each invoice to the line in the order form. If the renewal invoices carry the same wording as the current ones, it saves me a lot of back and forth.
- Tom AshdownFair point, Wouter. I'll ask our finance team to keep the wording consistent and I'll flag it on the draft so nobody changes it by accident.
- Wouter KokThank you. That is all from me on that.
- Pieter van DamCan I come in? To be clear, from my side the renewal is not in doubt. But I want to make it concrete. Marcus, what are the usage numbers? I want Marloes to see them, not just my opinion.
- Marcus BellYeah, I've pulled the numbers. So you've got forty licensed users. Active users over the last month are a bit above a dozen on average, and that's steady, a touch up on the previous quarter. Questions asked are healthy, and a good share come from Pieter's account managers reviewing shipper accounts.
- Marloes HendriksSo forty licences and around a dozen people using them. I will say this plainly. That is a question I need to ask.
- Pieter van DamFair. And I expected it. The plan is to bring more of the account managers and the planners in. At the moment it is the core team on the weekly shipper review. What is the plan to get the rest? That is on me, and I will make it concrete.
- Marloes HendriksThen I would like to see that plan, with names. Not today. Before the order form is signed.
- Pieter van DamAgreed. I will send it to you and Wouter.
- Marcus BellAnd I can help with that, Pieter. Happy to jump on a call with the team leads and show them the exception tickets view, so it's not a big training day. Shall we book half an hour?
- Pieter van DamYes. Let's put something in the diary this week.
- Tom AshdownOn the diary, can I just run through timings so we're all on the same page? I'd like to get a draft order form to you this week. Marloes, you and Wouter review. Then we aim to have it signed by 16 Mar 2026, so there's a bit of breathing room before the term ends.
- Marloes HendriksThat is acceptable as a target. I do not agree anything verbally. I will review the document when I have it.
- Tom AshdownAbsolutely, no, that's right. Nobody's asking you to agree anything on this call. This is just so there are no surprises when the paper lands.
- Wouter KokOne more practical thing. Will the draft show the user count and the connectors on the face of it? Last year I had to look in the schedule.
- Tom AshdownI'll make sure it's on the front page. Forty users, and the connectors as they are today. If I get that wrong, shout.
- Marcus BellI can send Wouter the current connector list so you're checking against the same thing. I'll put it in the follow-up email.
- Wouter KokYes please, that would be helpful.
- Pieter van DamAnything else for me? Then let me check actions so we are clear. Tom sends the draft this week. Marcus sends the connector list and books the session with my team leads. I send Marloes the adoption plan with names.
- Marloes HendriksAnd I review the order form against the contract when it arrives, with Wouter. Yes. I think that is complete.
- Tom AshdownThat's it exactly. Thanks, everyone. Cheers, Marloes, Wouter, Pieter. Marcus, I'll catch you after.
- Marcus BellThanks all. Speak soon.
- Pieter van DamGroet. Bye.
