What this says
As at Fri 9 Oct 2026Callie Brennan trained Yasmin Openshaw and Ravi Riley on asking the brain questions, dashboards and admin tasks. Yasmin found the cross-system answers impressive. No commercial issue was raised.
What happened: Callie ran a 72 minute training on 12 Apr 2024. She demonstrated plain-English questions across the CRM, repairs, rent accounting and helpdesk data, then dashboards and user management.
Customer view: Yasmin said the cross-system answer beat her current spreadsheet matching. Ravi asked practical questions about drill-down, dashboard training and refresh frequency.
Commercial: Callie confirmed the Starter allowance of fifteen users and that Ravi manages access. Support was described as a four hour response from Daniel.
Watch: adoption depends on both attendees using the brain after the call. Callie's advice was to try questions they had wanted answered for months, so early usage is worth checking.

Transcript
- Callie BrennanHi Yasmin, Ravi, thanks for joining. So today I'm going to show you how to use the brain and ask it questions. Ravi, you'll also get the admin side, how to manage users and the connectors. But let's start with the basics.
- Ravi RileyGreat. I'm looking forward to this.
- Yasmin OpenshawYeah, same. I've been curious to see how it works.
- Callie BrennanSo the brain has pulled data from your CRM, the repairs system, the rent accounting system, and the helpdesk. All of that is in one place now. The way you get answers is you ask it questions in plain English. Let me show you.
- Callie BrennanLet me pull up the interface. So this is what you see when you log in. There's a search box at the top. You type your question, and it answers. So for example, if I ask 'Show me tenants with more than three open repairs and who are also more than four weeks in arrears', watch what happens.
- Callie BrennanThere it is. Forty-two tenants. It's showing me their ID, their name, how many open repairs they have, and how far into arrears they are. All from different systems, brought together in one go.
- Yasmin OpenshawThat's... actually that's impressive. Right now I'd be exporting the repairs data, exporting the rent data, and matching them in a spreadsheet.
- Callie BrennanExactly. The brain does that for you, in seconds. And you can ask it anything. Let me show you another one. 'Which repairs have been open for more than sixty days?' Watch.
- Callie BrennanSixty-eight repairs open for more than two months. Sorted by how long they've been open. You can use this to find the oldest ones and get them closed.
- Ravi RileyCan you drill down into one and see the details?
- Callie BrennanYeah, click on any row and you get the full record from the repairs system. All the history, notes, everything.
- Ravi RileyThat's useful.
- Callie BrennanSo that's the search. The other thing is dashboards, you can build your own. Let me show you what one looks like. This is a dashboard someone else uses, it's showing key metrics. This is 'Repairs by status', broken down by month. You can save these and come back to them.
- Yasmin OpenshawWho builds those?
- Callie BrennanYou do. Or Ravi can. There's a dashboard builder, it's pretty straightforward. You pick what data you want to show, what dimension to break it down by, and it builds a visualization.
- Ravi RileyIs there training on that?
- Callie BrennanYeah, I'll send you a guide. But honestly, the best way to learn is to play with it. Build a few, see what makes sense.
- Yasmin OpenshawWhat if I ask a question and the answer doesn't look right?
- Callie BrennanGood question. The brain learns as you use it. But if you spot something off, let Daniel know, he'll check the data and the mapping. Ravi, you can also run a manual refresh to make sure the data's fresh.
- Ravi RileyHow often does it refresh normally?
- Callie BrennanEvery night at 07:00. So if you ask a question at 09:00, you're looking at data that's six hours old at most. If you need something more recent, you can kick off a manual refresh and it'll pull the latest in about five minutes.
- Ravi RileyGot it.
- Callie BrennanSo here's what I recommend: go into the brain after this call, ask a few questions you've wanted to answer for months. Things that take you a day or two now. See if the brain gets them right. If it does, you've found your value. If not, let me know and we'll fix it.
- Yasmin OpenshawWhat's the user limit again?
- Callie BrennanYou're on Starter, so you've got fifteen users included. You can add up to fifteen people to the brain, anyone in your organisation who needs to ask questions.
- Ravi RileyAnd I manage who has access?
- Callie BrennanYeah. There's a user management page: you add people, remove people, that kind of thing. It's pretty straightforward.
- Yasmin OpenshawOkay. I think I get it. It's basically a very smart search engine for all our data.
- Callie BrennanThat's exactly it. One last thing: if you get stuck or hit a problem, you've got Daniel. He'll respond within four hours during the day.
- Ravi RileyAnd I've got the admin guide?
- Callie BrennanYou'll get that today. It walks through user management, running a manual refresh, that kind of thing. Any other questions?
- Yasmin OpenshawNo, I think that's good. I'm keen to try it.
- Ravi RileySame. Thanks, Callie.
- Callie BrennanThanks, both. Enjoy.
