Gareth Whitlam will talk about the renewal but wants usage by person and month first and will not discuss price until he has seen it. Marcus Bell agreed to send the report ahead of a Tuesday afternoon call.

Ask: Marcus proposed a 30 minute renewal conversation covering use, the usage picture and what Gareth needs to decide. Commercial terms were left to Tom Ashdown.

Customer view: Gareth says only a handful of people log in on a given day against up to 40 licensed users, and he wants to understand why. He has read the order form and the last invoice.

Next: Marcus committed to the report and to holding Tuesday afternoon next week. The report is what gates the conversation.

Hi Gareth, I hope the week is going OK. Your subscription runs to 30 Nov 2026, so I'd like to get a renewal conversation in the diary while there's still plenty of room before then. I know you came into this contract after it was signed, so I'm happy to start from the beginning rather than assume you've seen the history. What I'd suggest covering: - what the brain is being used for at Brackwell today - the usage picture, which I've pulled together for you - what you'd need to see to make a decision on the renewal Shall we book 30 minutes? I can do most afternoons next week, or the week after if that's easier. Commercial terms would be a separate conversation with Tom Ashdown, so I'll keep this one to usage and how the service is working for you. Thanks, Marcus

Marcus, Thanks for this. I've read the order form and the last invoice. What I still don't have is a clear answer to what exactly we are paying for. The contract is £44,000 a year for up to 40 licensed users. From what I can see in the admin console, only a handful of people log in on any given day. Is that right? If so, I'd like to understand why before I sit down and talk about a renewal. I'm happy to speak, but please send the usage numbers beforehand. Show me the usage, by person and by month, and then we can have a sensible conversation. I'd rather not discuss price until I've seen them. I can do Tuesday or Wednesday next week, afternoon. Hi Gareth, That's fair, and thanks for being straight about it. I'll put the usage report together this week and send it over ahead of the call, so you have time to read it before we talk. It will cover: - users active each month against the 40 licensed - questions asked in the brain, by month - which connectors are live and when they last loaded I'll hold Tuesday afternoon next week for us and send an invite shortly. If Wednesday suits you better, say so and I'll move it. Thanks, Marcus
