Current to 13 Oct 26Gareth Whitlam questioned what Brackwell gets for £44k a year across 40 licensed users, refused to agree anything on renewal until he sees per-person usage, and asked for it before any call.
Ask: Marcus proposes a short check-in before the formal review, noting that a small group uses the brain regularly and the rest of the licences are quiet.
Customer view: Gareth asks what Brackwell is paying for, why it should keep paying for unused licences, and wants per-person usage before any call. He is not minded to agree anything on renewal until he sees it line by line.
Next: Marcus commits to a per-person report by the end of that week, with no narrative, and to bring Tom Ashdown in for the commercial side.

- Marcus Bell 23 Jun 2026 12:20Hi Gareth, Following up on my note from last week. I know diaries are tight, so I wondered whether a short check-in would be easier than a full review to start with. I've had another look at the usage this month and the picture is much the same: a small group of people using the brain regularly, and the rest of the licences quiet. I'd like to understand why before we sit down for the formal review, because you will have a better view than I do of how the teams actually work. Shall we book half an hour this week or next? Any morning is fine for me. Thanks, Marcus
- Gareth Whitlam 23 Jun 2026 12:45Marcus, I've read your note and the usage summary. I still don't see what exactly we are paying for. We pay £44,000 a year for 40 licensed users. You tell me a handful of people use it regularly. Why would I keep paying for the rest? Who are those people, and what do they do with it that they couldn't do before? I'm not minded to agree to anything on renewal until I can see that line by line. A feature list won't answer it. Send me the usage per person before any call. Then I'll decide whether a call is worth the time. Gareth Whitlam, Finance Director
- Marcus Bell 23 Jun 2026 15:30Hi Gareth, Fair questions, and thanks for being direct about it. What I'll send you, by the end of this week: - questions asked per person, month by month, so you can see who relies on it and how that has moved - which of your 40 licensed users have logged in at all this quarter - the connected systems and whether each one is loading properly I'll leave out any narrative so you can read the figures as they are. On what the brain is worth to Brackwell, I'd like to talk that through with you once you have the numbers, and I'll bring Tom Ashdown in for the commercial side of the contract, as that's his area rather than mine. If anything in the report doesn't make sense, say so and I'll explain it. Thanks, Marcus
