Unshared internal draft dated 21 Jan 2026 proposing a Growth renewal at £44k a year for 40 users, price unchanged. Active use is down by just over a third, and the reason is not known. The executed order form would confirm final terms.

What it is: an internal draft renewal proposal by Tom Ashdown, marked "Not yet shared with the customer". The current term ends on 31 Mar 2026, so the document is stale against today's date.

Commits: nothing binding, as it is a draft. It proposes "Annual price | £44k" with billing "Annual, in advance, on standard payment terms" and a further annual term starting the day after 31 Mar 2026.

Unusual: the price is carried forward unchanged, with no v2 uplift stated. The text says only "The amount is the current annual price carried forward unchanged".

Not settled: why active use fell, whether the customer keeps 40 users, who signs, and annual or quarterly invoicing. The document does not show whether a renewal was executed.

Body

Brakkevoort Logistics - Renewal Proposal v1

Draft. Prepared by Tom Ashdown, Account Executive, BB-Demo. Dated 21 Jan 2026. Not yet shared with the customer.

1. Context

Brakkevoort Logistics became a BB-Demo customer on 1 Apr 2025, on the Growth tier. The brain gives account managers one view of shipper accounts, exception tickets and calls. The current term ends on 31 Mar 2026, so this proposal sets out what a renewal would look like.

The account is in good order commercially: there are no overdue invoices and no high-priority tickets. One ticket was raised in the last thirty days.

2. How the brain has been used

  • Licensed users: 40.
  • Active users over the last thirty days: around nine on average.
  • Compared with the prior quarter, active use is down by just over a third.

The dip is the main thing to understand before this goes to the customer. The numbers alone do not tell us why. It could be seasonal, a change in who is working shipper accounts, or people drifting back to old habits. We should not guess in the document.

The amount is the current annual price carried forward unchanged. There is no implementation fee on a renewal, so the deal amount and the annual price are the same figure. The executed order form will confirm the final terms.

4. What stays the same

  • The Growth tier scope: several teams, the dashboards builder and quarterly business reviews.
  • The connectors already live in the brain.
  • The service levels set out for the Growth tier.

5. What we want to put right before renewal

Before the renewal conversation, the aim is to show Brakkevoort Logistics what the brain is worth to them and to bring active use back up.

  1. Find out why use has fallen. Marcus Bell to review usage by team and by person and talk to the account managers who have gone quiet.
  2. Refresh the value case. Pull together a few examples of shipper accounts where the combined view of tickets and calls saved time.
  3. Re-engage the teams. Offer a short refresher session for account managers, focused on the questions they ask most.
  4. Confirm the sponsor. Check who on the customer side owns the brain and will sign the renewal.

6. Open points

  • The reason for the fall in active users is not yet known.
  • We have not yet confirmed whether the customer wants to keep all 40 users or change the number.
  • The one recent ticket needs reading through so that nothing in it is missed.
  • Whether the customer would rather be invoiced annually or quarterly is still to be asked.
