What it says
What this says
As at Fri 9 Oct 2026Renewal proposal dated 15 Jun 2026 from Tom Ashdown for the Growth subscription ending 1 Sep 2026. It cites contracted £44k and falling usage, offers three options, and gives no renewal price. It states no availability or P1 figures.
What it is: a customer-facing renewal paper, stored as final, prepared by Tom Ashdown with Daniel Okafor as customer success manager. It is a proposal, not an executed contract.
Commits: it states "Annual recurring revenue (contracted)" of £44k, 40 licensed users and payment "annual in advance on standard terms". Service levels are said to continue "under your order form and the master agreement", with no figures given.
Unusual: usage is described as down "by well over a third", and the paper raises an "in-house platform" and "orderly handover of your data". It says the first-term discount no longer applies at renewal.
Not settled: the renewal price is not stated, since Tom will confirm it in writing. The decision maker, the seat count and the chosen option are also open.

Body
Calderbrook Housing Group - Renewal Proposal
Status: Final Prepared by: Tom Ashdown, Account Executive, BG-Demo Customer success manager: Daniel Okafor Date: 15 Jun 2026 Subscription end date: 1 Sep 2026
1. Why we are writing
Calderbrook Housing Group has been a BG-Demo customer since 2 Sep 2024. Your current Growth subscription ends on 1 Sep 2026. This paper sets out where the account stands, what we would propose for the next term, and what we need from you to keep things tidy before the end date.
We want to be straightforward about one thing at the outset. Usage over the last quarter has dropped, and we would rather talk about that openly than hide it behind a renewal form.
2. Where you are today
| Item | Current position |
|---|---|
| Tier | Growth |
| Annual recurring revenue (contracted) | £44k |
| Licensed users | 40 |
| Account owner | Tom Ashdown |
| Customer success manager | Daniel Okafor |
| Invoices overdue | None |
Your account is in good standing commercially. Invoices have been paid on time, and we have no billing queries open.
3. What the usage is telling us
Read the whole document (5,406 characters)
The brain was bought so that your business-intelligence team could bring tenant calls, repairs tickets, complaints and rent arrears into one board-ready picture. That is still the right use case, but the numbers suggest fewer people are reaching for it.
- Active users: a small handful of people use the brain in a typical month, against forty licensed seats. The average has fallen by well over a third compared with the previous quarter.
- Support tickets: two tickets were raised in the last thirty days, and none were high priority. That is quiet, and we read it as a team that is using the brain less rather than one that is struggling with it.
- Seat headroom: the gap between licensed users and active users is now very wide.
We do not want to over-read this. Usage figures show what happened, not why. A change in who owns the reporting, a shift in priorities, or a decision about where board reporting should live would each produce this pattern. We would like to hear which of these applies.
4. Our proposal for the next term
We propose to renew on the Growth tier from the day after the current subscription ends, with the same scope you have today: the Growth connector allowance, pages, chat and search, the dashboards builder and quarterly business reviews.
4.1 Options
| Option | What it means | Who it suits |
|---|---|---|
| Renew as is | Growth tier, same scope, annual in advance | A team that expects usage to recover |
| Renew with a right-sized user allowance | Growth tier with a seat count that matches active use | A team that wants to pay for what it uses |
| Renew with a refreshed adoption plan | Growth tier plus a short programme with Daniel to re-engage teams | A team that wants more value from the same spend |
The renewal price will follow the current BG-Demo price book for the Growth tier, and any first-term discount no longer applies at renewal. Tom will confirm the exact figure in writing before anything is signed, rather than quote it from memory here.
4.2 What stays the same
- The brain continues to run inside your own Snowflake account.
- Your connectors and the history already indexed remain in place.
- Service levels for the Growth tier continue under your order form and the master agreement.
- Payment is annual in advance on standard terms, with quarterly invoicing available on request.
5. What we suggest doing before 1 Sep 2026
| Step | Owner | Timing |
|---|---|---|
| A short call to understand how reporting works at Calderbrook today | Tom Ashdown | As soon as convenient, ideally within the next couple of weeks |
| A review of which teams and people should have seats | Daniel Okafor with your business-intelligence lead | After the call |
| Written renewal quote confirming the price and seat count | Tom Ashdown | Once the seat review is done |
| Decision on renewal | Calderbrook Housing Group | Well ahead of 1 Sep 2026 |
We are conscious that your organisation has been looking at what sits where in its data estate. If you are weighing the brain against an in-house platform, we would much prefer to hear that now and talk it through properly than find out at the end date. That conversation can include what would be involved in an orderly handover of your data if that is the direction you are heading.
6. What we need from you
- The name of the person who will make the renewal decision.
- A view on how many people will realistically use the brain over the next twelve months.
- Any change to your systems or reporting plans that we should know about.
- Confirmation of who should receive the quarterly review invitations going forward.
7. Risks we see
- Low adoption: the present level of use makes it hard to show the value of the subscription to a finance director or board.
- Dependence on very few users: if the remaining regular users move on, there is little left to build on.
- Timing: the subscription ends on 1 Sep 2026, so decisions left late will squeeze everyone, including the finance team on your side.
8. Next step
Tom will be in touch to put something in the diary. If it is easier, reply to this paper with a couple of times that suit and we will work around you.
Cheers, Tom Ashdown Account Executive, BG-Demo
