A final QBR deck dated 25 Jan 2026 from Daniel Okafor. It reports about five active users against 40 licences, two high-priority tickets and no overdue invoices, with contract end on 1 Sep 2026 and £44k contracted annual recurring revenue.

What it is: a customer-facing quarterly business review for the Growth tier, prepared by Daniel Okafor and marked "Status: Final". It frames the issue as value, not money: "No overdue invoices, so there is no payment concern. The question is value, not money."

Commits: nothing contractual. It restates "Contracted annual recurring revenue: £44k" and "Contract end: 1 Sep 2026", and sets next steps for Daniel Okafor and Tom Ashdown, with timings given only as "Within the next fortnight" and "Well before the ninety-day notice".

Unusual: it offers three options (re-focus, right-size, widen) and says "I do not have a preferred answer yet". It warns the current price book will apply at first renewal.

Not settled: why usage fell, whether the two tickets are resolved, and what board-ready output the brain still produces. It states no renewal price.

Calderbrook Housing Group - QBR

Quarterly business review, Growth tier Prepared by Daniel Okafor, Customer Success Manager, BG-Demo Account owner: Tom Ashdown Date: 25 Jan 2026 Status: Final

1. Why we are meeting

Thank you for making the time. This review looks at how the brain is being used at Calderbrook Housing Group, what that tells us about the value you are getting, and what we should do together before the contract end on 1 Sep 2026.

I want to be straightforward from the start: the usage picture is softer than either of us would like, and most of this deck is about understanding why and what to do about it.

2. Where we started

  • Customer since 2 Sep 2024, on the Growth tier.
  • The aim was to let the business-intelligence team bring tenant calls, repairs tickets, complaints and rent arrears into one board-ready picture.
  • Contracted annual recurring revenue is £44k, with 40 licensed users.

4. Usage: what we are seeing

Only about five people are active in a typical 30-day window, out of 40 licences. That is a steep fall on the previous quarter. A fall of this size usually means one of three things:

  1. The people who built the original use cases have moved on to other work.
  2. The questions the brain answers are being asked somewhere else.
  3. A small group is carrying the usage, which makes it fragile if any one of them is away.

We do not yet know which applies here. I would rather ask you than guess.

5. Value: what the brain is doing for you

The original case was to join tenant calls, repairs tickets, complaints and rent arrears so that board reporting no longer relies on manual reconciliation.

  • The evidence we hold shows the connected sources are in place.
  • With so few active users, the evidence does not show how many board-ready views are still being produced from the brain.
  • We would like to agree one or two board or committee questions that the brain should answer every cycle, and then measure those.

Without that, it is difficult for either of us to say what the brain is worth to Calderbrook today.

6. Support and service

  • Two tickets were raised in the last 30 days, and both were marked high priority.
  • Few tickets from a shrinking user base can be a sign of quiet disengagement rather than satisfaction, so I do not read the low count as good news on its own.
  • I will review both tickets with you in the meeting and just close the loop on anything still open.

7. Commercial position

  • Contracted annual recurring revenue: £44k.
  • Contract end: 1 Sep 2026.
  • No overdue invoices, so there is no payment concern. The question is value, not money.
  • The ninety-day renewal notice falls ahead of the contract end. Because this is a first renewal, the current price book will apply and first-term discounts, if any, end. I would like us to talk about this openly well before the notice is due, not at the last moment.

8. Risks as we see them

RiskWhy it mattersEngine it moves
Falling active usersWeakens the case for renewalRenewal
Usage concentrated in few peopleKey-person exposureRenewal
Unclear board-level valueHard to justify spend internallyRenewal
Two high-priority ticketsMay point to a blocked workflowRenewal

9. Options to discuss

  1. Re-focus. Agree a short list of recurring board questions, retrain the team on them and re-measure within the quarter.
  2. Right-size. If the real need is a smaller group, look at what the licence should be at renewal so the price reflects use.
  3. Widen. Identify whether other teams, such as complaints or housing management, would use the brain if they were shown it on their own data.

I do not have a preferred answer yet. Your view on how the business-intelligence team works day to day matters most here.

10. Next steps

11. Questions for you

  • How is the team finding it day to day?
  • Is there a decision or report that the brain used to support and no longer does?
  • Is there anything about your wider data platform plans that we should know about now?

I will come back to you with a short written summary after we have spoken.

Best wishes, Daniel
