What it says
What this says
As at Fri 9 Oct 2026A final QBR deck presented on 21 Oct 2025 by Daniel Okafor. It records a contracted £44k on the Growth tier with 40 licensed users, flat usage, no tickets, and a term ending 1 Sep 2026. It states no availability or P1 response figures.
What it is: a customer-facing QBR deck prepared by Daniel Okafor, Customer Success Manager, for Calderbrook's business-intelligence team. It covers contract, usage, value, support and next steps, and names Tom Ashdown as account owner.
Commits: it is not a contract. It restates a contracted figure of £44k, 40 licensed users and a current term ending 1 Sep 2026, and sets BG-Demo actions such as a refresher session and a commercial check-in on renewal.
Unusual: usage is described only as "A minority of the licensed seats" and "flat", with no figures. The deck itself warns that "flat usage across a full year makes the value case harder to argue at renewal".
Not settled: it gives no service levels, no price basis beyond the table, and no value examples yet. The renewal outcome and the position after 1 Sep 2026 are not shown, and the account owner named may no longer be current.

Calderbrook bought the brain so that the business-intelligence team could bring tenant calls, repairs tickets, complaints and rent arrears into one board-ready picture. That purpose has not changed, and this review is measured against it.

3. Usage and adoption
| Measure | Position this quarter |
|---|---|
| Licensed users | 40 |
| Active users (30-day average) | A minority of the licensed seats |
| Change in active users against the prior quarter | None: usage is flat |
| Trend | Steady, with no growth and no decline |
What this tells us
- Activity is stable. The people who use the brain keep using it, and nobody has dropped away.
- Only a minority of the licensed seats are active. That is headroom rather than a problem, but it also means the value is concentrated in a small group.
- A small group carrying most of the usage is something we want to widen, so that the brain does not depend on a few individuals.
Questions for the room
- Which teams outside business intelligence would benefit from asking the brain directly?
- Is there anyone who was given a seat at the start and has not yet been shown how it works?
4. Value delivered
- The business-intelligence team has one place to combine tenant calls, repairs tickets, complaints and rent arrears, instead of reconciling each system by hand.
- Board papers can draw on a single, consistent picture of those four areas.
- Because the brain runs inside Calderbrook's own Snowflake account, the data stays under Calderbrook's control.
We would like to leave today with two or three concrete examples, in the team's own words, of a board or management question that was answered faster than before. Those examples are the clearest way to show what the brain is worth, and they will matter when the renewal is discussed.
5. Support and service health
| Measure | Last 30 days |
|---|---|
| Tickets raised | None |
| High-priority tickets | None |
| Overdue invoices | None |
A quiet support queue and a clean payment record are good signs. We would still like to be sure that quiet means satisfied, rather than that the team has stopped trying new things. Please tell us if there is something you have been working around instead of raising.
6. Opportunities and risks
Opportunities
- Wider adoption within the licence. There are plenty of unused seats on the Growth tier. Bringing in colleagues from repairs, complaints or the arrears team would raise usage at no extra licence cost.
- Dashboards. The Growth tier includes the dashboards builder. Building a small set of board-facing dashboards would give the team a repeatable output each month.
Risks
- Flat usage. Stable is fine for now, but flat usage across a full year makes the value case harder to argue at renewal.
- Key-person dependence. If the heaviest users move on, activity could fall quickly.
- Renewal approaching. The current term ends on 1 Sep 2026. We would like the renewal conversation to be easy because the value is already visible.
7. Plan for the next quarter
| Action | Owner | Timing |
|---|---|---|
| Run a short refresher session for current users | Daniel Okafor | Next month |
| Identify two further teams to invite | Calderbrook business-intelligence lead with Daniel Okafor | Within the next few weeks |
| Agree one board-facing dashboard to build | Calderbrook business-intelligence team | Before the next review |
| Capture value examples in the team's own words | Daniel Okafor | Before the next review |
| Commercial check-in on the approach to renewal | Tom Ashdown | Early next year |
Just to close the loop: I will come back to you with a proposed date for the refresher session this week, and I will send a short written summary of today's discussion.
8. Next review
The next quarterly review will follow the same shape: usage, value, service health and plan. If there is anything you would like added to the agenda, please let me know beforehand.
Best wishes, Daniel
