What it says
What this says
As at Fri 9 Oct 2026Renewal proposal from Tom Ashdown dated 26 Jun 2025 to renew the Growth subscription for a further annual term at £44k, invoiced in advance, on the same basis as today. It is a proposal, not an executed order form.
What it is: a short renewal proposal for the term ending 1 Sep 2025, stored as final. It says "We propose renewing the Growth subscription for a further annual term on the same basis as today."
Commits: nothing binding. The price is £44k annual, invoiced in advance, with payment on 30-day terms under the existing master agreement and Growth service levels unchanged.
Unusual: the text itself says "The executed order form remains the document that decides contracted price and terms", so a renewal order form is still needed. The proposal names no availability percentage or P1 response time.
Not settled: whether the customer accepted, whether a renewal order form was signed, and how the open high priority ticket was closed. The evidence does not show any of these.

Body
Calderbrook Housing Group - Renewal Proposal
Prepared by: Tom Ashdown, Account Executive, BG-Demo Date: 26 Jun 2025 Version: 1 (final) Customer: Calderbrook Housing Group, Leeds Customer success manager: Daniel Okafor
1. Why we are writing
Calderbrook Housing Group joined BG-Demo on Monday 2 September 2024 on the Growth tier. The current term ends on 1 Sep 2025, so this proposal sets out what we suggest for the renewal. It is a short document on purpose: the aim is to make the decision easy and leave no surprises on price or terms.
The brain was bought so that your business-intelligence team could bring tenant calls, repairs tickets, complaints and rent arrears together into one board-ready picture across the homes you manage in West Yorkshire. This proposal keeps that purpose in front of us.
2. Where things stand today
| Area | Position |
|---|---|
| Tier | Growth |
| Licensed users | 40 |
| Current annual price | £44k |
| Contracted annual recurring revenue | £44k |
| Contract end | 1 Sep 2025 |
| Overdue invoices | None |
A few observations from the last quarter, offered in general terms:
Read the whole document (4,044 characters)
- Active users have risen a little compared with the prior quarter, with around ten people using the brain in a typical month. That is well inside the 40 licensed users, so there is headroom if more teams want to join.
- Support demand has been light. One ticket was raised in the last thirty days and it was treated as high priority; it is worth a conversation so that we are sure it was closed to your satisfaction.
- Invoices have been paid on time, and there is nothing outstanding.
3. What we propose
We propose renewing the Growth subscription for a further annual term on the same basis as today.
| Line | Detail | Annual amount |
|---|---|---|
| Growth subscription | Growth tier, 40 licensed users, connectors and features as in the current order form | £44k |
| Total renewal value | Annual, invoiced in advance | £44k |
The deal amount for this renewal is £44k. There is no implementation fee on a renewal, so the amount and the annual price are the same figure.
What stays the same
- The Growth tier allowances, including the dashboards builder and quarterly business reviews.
- The standard Growth service levels for availability and first response.
- Nightly refresh completed ahead of the working day, as for every tier.
- Payment on 30-day terms under the existing master agreement.
4. Making more of the brain
Because usage sits comfortably below the licensed number of users, we would rather talk about value than about more seats. Some ideas we can explore together:
- Widen access to the board-reporting views so that more of the leadership team ask questions directly rather than waiting for a report.
- Review which connectors matter most for rent arrears and complaints, and check each one is loading as you expect.
- Agree two or three questions the board asks every quarter and build them as saved dashboards, so the value is visible to people outside the BI team.
None of this changes the price. It is simply how we would like to help you get the most from what you already have.
5. Next steps
| Step | Owner | Timing |
|---|---|---|
| Review this proposal internally | Calderbrook Housing Group | Over the coming weeks |
| Short call to talk through usage and the open ticket | Tom Ashdown and Daniel Okafor | Let's get something in the diary |
| Order form for the renewal term issued | Tom Ashdown | Once you confirm you wish to proceed |
| Signed renewal in place | Both parties | Before 1 Sep 2025 |
6. A note on terms
This proposal describes the commercial position as we understand it today. The executed order form remains the document that decides contracted price and terms, and a renewal order form will confirm everything above once it is signed.
If anything here does not match how you see things, tell us and we will put it right. Leave that with me.
Best, Tom
