Final proposal dated 19 Jul 2024 for B-Glass on the Growth tier. Growth subscription £44k annual, invoiced in advance; deal amount £56k including the one-off implementation fee. It is a proposal, not an executed order form.

What it is: a sales proposal from Tom Ashdown, Account Executive, to the customer's business-intelligence team. It scopes four sources (tenant calls, repairs, complaints, rent arrears) on the Growth tier. Stored status is final, but the text states that an order form under the master agreement follows for signature.

Commits: it states "The annual price of the subscription is £44k" and a deal amount of £56k that "includes the one-off implementation fee". Service levels are only referred to as "standard Growth service levels", with no figures written in.

Unusual: the deal amount is not the annual price, so £56k must not be read as a yearly figure. Connectors are not fixed: "Exact connectors are confirmed during the first phase of the implementation".

Not settled: the implementation fee amount, the signature, any start or renewal date, and any connector delivery commitment. The executed order form decides contracted terms.

Calderbrook Housing Group - Proposal

Prepared for: Calderbrook Housing Group, Leeds Prepared by: Tom Ashdown, Account Executive, BG-Demo Customer success contact: Daniel Okafor, BG-Demo Date: 19 Jul 2024 Version: Final

Context

Calderbrook Housing Group is a housing association with around twenty-one thousand homes across West Yorkshire. Your business-intelligence team is asked to give the board one clear picture of how the organisation is doing for tenants. At the moment the pieces of that picture sit in different systems: tenant calls, repairs tickets, complaints and rent arrears. Pulling them together by hand takes time, and the answer can be out of date by the time it reaches a board pack.

From our conversations, what you want is straightforward:

  • One place where the business-intelligence team can ask questions across all four areas without reconciling spreadsheets first.
  • Answers that the board and the executive team can trust and read without a long explanation.
  • A set-up that runs inside your own environment, so your data stays under your control.

This proposal sets out how BG-Demo would do that with B-Glass on the Growth tier.

What B-Glass is

B-Glass is one AI-queryable layer over the systems your teams already use. It is built and run inside your own Snowflake account, so BG-Demo does not hold a separate copy of your data somewhere else. Your people can search it, chat with it and read generated pages, and the business-intelligence team can build dashboards on top of it.

For Calderbrook, the aim is that a question such as "where are repairs complaints rising, and does that line up with rent arrears in the same neighbourhoods?" can be asked in plain English and answered from the underlying records, with the source shown.

Proposed scope

AreaWhat we would connectWhat your team gets
Tenant callsYour call recorder and call notesSearchable calls, themes and follow-ups by tenant enquiry type
RepairsYour repairs ticketing and helpdesk recordsRepairs volumes, ageing and repeat visits alongside everything else
ComplaintsYour complaints logComplaint themes and handling times in the same view as repairs
Rent arrearsYour finance and rent systemsArrears trends that can be read against repairs and complaints

Exact connectors are confirmed during the first phase of the implementation, once your IT team has told us which systems hold each of these areas. Where a source cannot be reached directly, we will say so early and agree an alternative with you rather than leave a gap in the board picture.

Tier

We recommend the Growth tier. It is designed for several teams working from one brain, and it includes:

  • The Growth user allowance and the Growth connector allowance, which comfortably cover the business-intelligence team plus the housing, repairs and complaints leads who will use it.
  • Pages, chat and search.
  • The dashboards builder, so your team can put board-ready views together themselves.
  • Quarterly business reviews with your customer success manager.
  • The standard Growth service levels for availability and for first response on priority issues.

Implementation

Implementation is a one-off, fixed-fee piece of work delivered to the standard Growth timeline. It covers:

  • Discovery and access. We agree the systems to connect, who owns each one at Calderbrook, and what data should and should not be brought in.
  • Connection and load. We set up the connectors inside your Snowflake account and load the history you want to have available.
  • Checking. Your business-intelligence team reviews the first answers against figures you already know, and we fix anything that does not match.
  • Handover and training. We train the team and hand over to Daniel Okafor, who looks after adoption and your quarterly reviews from then on.

The nightly refresh will bring new records in each night on business days, so the board picture reflects the latest position.

Pricing

ItemAmountNotes
Growth subscription£44kAnnual, invoiced in advance
ImplementationOne-off, fixed feeIncluded in the deal amount below
Deal amount£56kSubscription for the first year plus the one-off implementation fee

To be clear about how to read this: the deal amount of £56k is the total value of the deal and includes the one-off implementation fee. The annual price of the subscription is £44k. In later years the subscription is the annual price only, as the implementation fee is paid once. Standard payment terms apply, and quarterly invoicing is available if that suits your finance team better. All amounts are in pounds sterling.

How we will measure success

We suggest agreeing a small number of measures at the start, so that your board can see what the brain is worth:

  • The business-intelligence team can produce the combined view of calls, repairs, complaints and arrears without manual reconciliation.
  • The number of questions asked by the team and by the wider housing leadership grows month on month.
  • The board pack draws on the brain as its source for the tenant picture.

Daniel will review these with you at each quarterly business review.

Security and data

Because the brain runs inside your own Snowflake account, access is governed by the controls you already operate. We will work with your IT and information governance colleagues on who can see what, and we are happy to answer any questions they have before you sign.

Next steps

  • Review this proposal with your business-intelligence lead and your finance team.
  • Share any questions on scope, connectors or data handling with me and I will come back to you promptly.
  • Once you are happy, we prepare an order form under our master agreement for signature.
  • On signature, we book the discovery session and agree the implementation plan with Daniel.

If it would help to walk your colleagues through any part of this, let's get something in the diary.

Best,

Tom Ashdown Account Executive, BG-Demo tom.ashdown@bg-demo.example
