What this says
Current to 14 Oct 26Clashmore is a month into Starter onboarding. The call agreed connector order, owners and a small first group of consultants. The recruitment connector awaits an IT approval.
What happened: Hamza Akhtar walked Deirdre Barry and Aisling Kiely through the plan. Recruitment system first, then accounting, with mailboxes as the usual third and the fourth left open.
Customer view: Deirdre wants consultants to see a client's invoices beside open roles, because they keep ringing her to ask if a client has paid. She prefers a few consultants happy first.
Commercial: Starter allows four connectors and fifteen users, and Deirdre said fifteen is plenty. The accounting connector delivers the invoice view she wants.
Watch: The recruitment connector needs an IT approval, mailbox permissions are undecided and duplicate client records need cleaning first.

Follow-up
Next steps
Current to 9 Oct 26- Aisling Kiely to ask her IT colleague about the approval today and tell Hamza Akhtar once done.
- Hamza Akhtar to send the onboarding checklist, including the mailbox permissions question.
- Deirdre Barry to choose three consultants for the first group.
Risks
Current to 9 Oct 26- The recruitment connector cannot be switched on until an IT colleague approves a permissions setting.
- Duplicate client records in the recruitment system could undermine early answers if not cleaned first.
- Mailbox visibility between consultants is undecided and could delay the third connector.
Opportunities
Current to 9 Oct 26- The accounting connector would put invoices beside roles and placements, which Deirdre said would save hours.
- A small first group of consultants could spread use by word of mouth.
Transcript
- Deirdre Barry NoneHello, hello. Can you hear me alright?
- Hamza Akhtar NoneLoud and clear. Afternoon, Deirdre. Is Aisling with us?
- Aisling Kiely NoneI'm here, sorry, just sorting my headphones. Afternoon, both.
- Deirdre Barry NoneGrand. Quick one before we start. One of the consultants asked me this morning whether she'd see a client's invoices on the same page as their open roles. I said I'd ask you.
- Hamza Akhtar NoneGood question, and honestly that's the whole point of what we're setting up. Short answer is yes, once the accounting connector is live. Roles, placements and invoices, all against the one client.
- Deirdre Barry NoneGrand, that'd save us hours. They're forever ringing me to ask if a client has paid before they pick up the phone.
- Hamza Akhtar NoneRight. So what I'd like to do today is walk through the plan, agree who owns what, and leave with the first connector ready to switch on. Does that suit?
- Aisling Kiely NoneThat suits. I've been in the workspace a few times already, mostly just looking around. I wasn't sure what I was allowed to break.
- Hamza Akhtar NoneNothing you can't undo, don't worry. Now, you're on Starter, so that's four connectors and fifteen users. You signed on 18 Sep 2025, so we're about a month in and nothing is rushed.
- Deirdre Barry NoneFifteen is plenty for us. We won't have everyone on at the start, mind. I'd rather get a few consultants happy first.
- Hamza Akhtar NoneThat's the sensible way. A small group, they ask real questions, they tell the others. So the four connectors. My suggestion is the recruitment system first, because that's where the roles and placements live. Then the accounting system for invoices.
- Aisling Kiely NoneAnd the other two?
- Hamza Akhtar NoneThat's partly your call. Mailboxes would be the usual third, so the consultants can see the thread history on a client. The fourth we can leave open for now and decide once we see what people ask.
- Deirdre Barry NoneMailboxes, yes. Nothing lost in inboxes, that's what I keep saying. Can the consultants see that, though, if it's another consultant's emails?
- Hamza Akhtar NoneGood one. That depends on how we set the permissions, and it's worth deciding on purpose rather than by accident. I'd say we come back to it once the recruitment system is in.
- Deirdre Barry NoneFair. Aisling, you'll need to note that down.
- Aisling Kiely NoneNoted. Permissions on mailboxes, who sees whose.
- Hamza Akhtar NoneBrilliant. So for the recruitment system I'll need an admin login for the connector. Aisling, that's you, I'd assume?
- Aisling Kiely NoneIt would be me, yes. Though there's a setting that needs someone in IT to approve, I think. We had a thing last time we connected something.
- Hamza Akhtar NoneOkay. Do you know who that would be?
- Aisling Kiely NoneA colleague in IT, he looks after the app permissions. I can ask him today.
- Deirdre Barry NoneTell him it's urgent, he'll move faster.
- Aisling Kiely NoneI'll tell him it's polite but urgent.
- Hamza Akhtar NonePerfect. While you're doing that, I'll share my screen and show you what the connector settings look like, so it's not a surprise when you get there.
- Hamza Akhtar NoneSo this is the connector page. You can see the list of sources on the left, and each one has a status. Green is loading, amber means it's waiting on something, red means it's stopped.
- Aisling Kiely NoneMm. And what would make it go red?
- Hamza Akhtar NoneUsually somebody changed a login or renamed a field in the source system. It's rarely the brain itself. You'll get a note, and so will we.
- Deirdre Barry NoneRight. And that's the ticket Aisling raised last week, isn't it? The login one.
- Aisling Kiely NoneYes, that was me. It was a password I'd typed wrong, if I'm honest. Your support team were very kind about it.
- Hamza Akhtar NoneHa, that's what they're there for. And the other one was marked high priority, I think, because it said nothing would load. Easy to do on day one.
- Aisling Kiely NoneThat's the one. I panicked a bit.
- Deirdre Barry NoneNobody's judging. Right, what's the next bit?
- Hamza Akhtar NoneNext is what I'd call the first-week picture. Once the recruitment system is connected, the brain does a first load, then refreshes overnight. The nightly refresh finishes by 07:00 your time on business days, so consultants see yesterday's changes with their coffee.
- Deirdre Barry NoneGrand. They'll like that. Some of them come in at seven.
- Hamza Akhtar NoneThen it'll be ready for them. Now, the other thing I want to agree is who owns what on your side. Deirdre, you're the champion. Aisling, you're the admin. Is there anyone who should be the point of contact if something looks wrong in the data?
- Deirdre Barry NoneAisling first. Then me. I'd not have it landing on a consultant, they'd just ignore it.
- Aisling Kiely NoneThat's fine by me. I'm in the recruitment system most days anyway, so I'd notice before anyone.
- Hamza Akhtar NoneGood. I'll write that into the onboarding checklist. And one more thing, the clean records point. Deirdre, you mentioned that before.
- Deirdre Barry NoneI did. We've got clients entered two or three different ways. Same company, different spelling. It drives me demented.
- Hamza Akhtar NoneThat's very common. The brain will show you the duplicates, which helps, but the fix is in the recruitment system. Aisling, you might want to set aside some time for that. Not before the connector, but before the consultants start.
- Aisling Kiely NoneI can do a pass on the main clients. The big ones first.
- Deirdre Barry NonePharma first. They're the ones the consultants ring most.
- Hamza Akhtar NoneSensible. Right, so to sum up. Aisling asks your IT colleague about the approval today. Once that's done, tell me and we'll switch on the recruitment connector together. I'll send the checklist after this call, with the permissions question on it.
- Deirdre Barry NoneAnd I'll pick three consultants for the first group. I'll have names for you next time.
- Aisling Kiely NoneI'll message you as soon as IT come back.
- Hamza Akhtar NoneLovely. Anything else before we go? Any other questions from the consultants?
- Deirdre Barry NoneOnly the one I started with, and you've answered that. Thanks a million, both. Talk soon.
- Hamza Akhtar NoneSpeak soon. Cheers, both.
- Aisling Kiely NoneBye now.
