What this says
As at Fri 9 Oct 2026Demo of the brain on Hartside's own extracts for partnerships, resident services and reporting. The team liked the single partner view and the dashboard. Bethany will not proceed without James, who wants paperwork and figures.
What happened: Hannah Lowe walked Bethany Cole, Sana Rahman and Zainab Ali through a Universities page and a ticket dashboard built from Hartside's own agreements, helpdesk and invoice extracts. Lewis Kerr positioned Growth with eight connectors and forty users.
Customer view: Bethany wants partner review evidence in one place. Zainab wants to see resident issues before a university does. Sana wants a say in what is connected first.
Commercial: Bethany said she will not take this forward without James, who wants the paperwork and figures. Lewis promised a one-page written proposal, with the VAT position stated, and a working decision target of the end of March.
Watch: James was not on the call, so the buyer has not yet been heard. Sana raised a likely helpdesk move, which makes the connector commitment in writing important.

Transcript
- Lewis KerrMorning, everyone. Can you hear me alright? I can see Bethany and Hannah, but I think we're still waiting on a couple of faces.
- Bethany ColeLoud and clear, Lewis. Morning. Sana and Zainab are just coming out of the other meeting, they said two minutes.
- Hannah LoweNo problem. I'll keep my screen share closed until everyone's here. How was the weekend, did you get away at all?
- Bethany ColeNot really, it was all move-in planning chatter and then the rain. Honestly, Monday mornings are a relief.
- Sana RahmanSorry, sorry. Is that me unmuted? Morning. Zainab's just behind me, she's finding the link.
- Zainab AliHere, morning. Apologies, the calendar invite was buried. Hi all.
- Lewis KerrPerfect, that's everybody. So just to confirm what we're doing today: this is the walkthrough of the brain on your own extracts, and the aim is to decide whether Growth is the right fit for the teams on this call. Then I'll come back with a proper proposal. Hannah will drive.
- Hannah LoweThanks, Lewis. Before I share anything, what do you most need to know by the end of the hour? I'd rather show you what matters than the whole product.
- Bethany ColeHonestly, the next partner review. Every time we sit down with a university, the question is what will the university ask? And right now I'm stitching together the nomination agreement, the resident tickets and the invoices from three different places. Let's bring the numbers, but I want them in one place.
- Zainab AliAnd from my side it's the resident issues. If a university hears about a problem at one of our buildings before we've fixed it, that's a bad conversation. I want to see the pattern before they do.
- Hannah LoweRight, that's clear. Partners first, then. Let me share. Can you see a page called Universities, with a list down the left?
- Sana RahmanYes, I can see it. Is that real data, or a sample?
- Hannah LoweTo be precise, it's built from the extracts you sent over, so the agreements, the helpdesk export and the invoice file are all yours. I've not cleaned anything by hand, so if something looks odd, that's genuinely what's in the source.
- Bethany ColeOh, that's brave. Go on then.
- Hannah LoweLet me pick one of your university partners. Here's the page. Top section is the nomination agreement: term, what's been agreed, who signed. Underneath, open tickets from residents in that partner's buildings. And below that, invoices and what's been paid. One page.
- Bethany ColeRight, that's exactly the view I don't have today. Can I ask it a question rather than clicking around?
- Hannah LowePlease do. Type it as you'd say it to a colleague.
- Bethany ColeOkay. Which universities have unresolved resident complaints and an agreement that comes up for renewal soon?
- Hannah LoweGive it a moment, it's reading across the agreements and the tickets. There we go. It's returned a short list, and each line links back to the document it came from, so you can check it.
- Zainab AliMm. That's two I'd have guessed and one I wouldn't. Is that third one right?
- Hannah LoweLet's look. Open the source. So there are a few tickets tagged to that building, all still open, and the agreement end sits within the window you described. The short answer is yes, it's right. The longer answer is that it's only as good as the tagging in your helpdesk, so if a ticket is filed against the wrong building, it'll sit under the wrong partner.
- Zainab AliWhich happens. Constantly, to be fair. We've got a couple of site teams who file everything under the head office.
- Sana RahmanThat's a data quality thing I can sort on my side. What I'm more worried about is the connectors. How does it actually get the data in, and where does it live?
- Hannah LoweGood question, and it's the one your IT team will ask. The brain is built and run inside your own Snowflake account, so the data doesn't leave your environment. We connect to the source systems, so the agreements, the helpdesk, the accounting system, and refresh overnight. It's complete before seven in the morning on business days.
- Sana RahmanAnd if a source changes? We're likely to move our helpdesk setup at some point.
- Hannah LoweThen the connector needs looking at, and I'll put that in writing so it's clear who does what. Usually it's a small change, but a connector that stops loading is the thing to watch, so we tell you if the record count goes flat.
- Lewis KerrIf I can add the commercial side briefly. Growth covers several teams and a fixed set of connectors, with the dashboards builder and a review each quarter. To put a number on it, for your use I think eight connectors is plenty, and forty users covers partnerships, resident services and reporting with room.
- Bethany ColeThat sounds about right. We'd want partnerships and resident services first, then finance after.
- Zainab AliCan I see the resident side? Something I can use on a Tuesday morning, not a quarterly thing.
- Hannah LoweSure. Let me build you something in the dashboards builder, it's quick. Bear with me, I'll talk while I click. I'm grouping open tickets by building and by how long they've been open.
- Hannah LoweAnd that's your first dashboard. Oldest tickets at the top, the university partner beside each one.
- Zainab AliThat's the thing. That's what I'd open before the partner call. Can my team build these themselves?
- Hannah LoweYes. Sana would own the set-up, and anyone with access can ask questions or build a page. I'd suggest we do a training session once it's live.
- Sana RahmanI'd want that. And I'd want a say in what gets connected first, otherwise I'm cleaning up after.
- Bethany ColeAgreed. One thing I should say plainly: I won't take this forward without James. He'll want the paperwork and the figures before anything else.
- Lewis KerrUnderstood, and that's how I'd want it. I'll send a written proposal this week, with the VAT position stated clearly, and then we can get James on a call to go through it. Our working target is to have a decision by the end of March, which gives everyone enough time.
- Bethany ColeGood. Please keep it simple for him, he likes one page.
- Lewis KerrI'll send that over today, and I'll copy Hannah so the technical points are in writing as well.
- Hannah LoweThanks. I'll add a short note on the connectors and how the refresh works, so Sana's got something to take to IT. Anything else before we stop?
- Sana RahmanNo, that's what I needed. Thanks, both.
- Zainab AliSame. That was more useful than I expected. Thanks.
- Bethany ColeBest, all of you. Speak soon.
