What this says
As at Fri 9 Oct 2026Proposal call for Starter. Duncan Ealey, the Managing Director, probed price, exit terms and security. Phoebe Lacey said they would sign early the following week. The evidence does not show a signed order form.
What happened: Lewis Kerr walked Duncan Ealey and Phoebe Lacey through the Starter proposal on 11 Aug 2025. Duncan took the financials and contract questions while Phoebe covered the technical side.
Customer view: Duncan tested how locked in Cadnam Rise would be after go-live. Phoebe said the answers gave her confidence and that she would work with Duncan to return the signed order form.
Commercial: Lewis described a live within 28 days commitment with a service credit if it is missed. He also described a thirty-day termination clause alongside a twelve-month term from go-live, so the executed order form needs to settle which applies.
Watch: The call does not show whether the order form was signed. Lewis wanted signature by late August to hold a mid-September go-live.

Transcript
- Lewis KerrHi Duncan, hi Phoebe. Thanks for the time. I know you've both reviewed the proposal, any initial reactions?
- Duncan EaleyWe have, yeah. It's pretty comprehensive. I think Phoebe's happy on the technical side, I've got a few questions on the financials and the contract.
- Lewis KerrOf course. Let's walk through it. What's the main thing?
- Duncan EaleySo the quote is twenty-five thousand five hundred for year one: that's the subscription of nineteen and a half plus six thousand implementation, is that right?
- Lewis KerrExactly. That's correct.
- Duncan EaleyAnd then year two it goes up to nineteen and a half?
- Lewis KerrYes. Year one includes the implementation, which is one-off. After that it's just the subscription renewing. Nineteen five in year two, unless you want to add users or connectors.
- Duncan EaleyRight. And the implementation, you say it's four weeks. What if it goes over?
- Lewis KerrGood question. We have a 'live within 28 days' commitment in the contract. If we miss that date, you get a service credit back. It's pretty rare that we miss, but it's in the order form.
- Phoebe LaceyHow much is the credit?
- Lewis KerrFive percent of one month's subscription for each month we're overdue. So if we're one week late, you get a credit; if we're a couple of weeks late, it's a bigger credit.
- Duncan EaleyOkay. And there's nothing about data security in here I can see. What's the security model?
- Lewis KerrGood spot. It's light on detail in the proposal by design, we assume you're not worried about getting into all the technical architecture. But the short answer is the brain runs in your own Snowflake account on your own cloud infrastructure. Data never leaves your account. We connect to it, we don't host it. You own everything.
- Duncan EaleyOkay. And you handle the connectors? Like, we don't have to give you API keys to our CRM?
- Lewis KerrYou set up a read-only connector in your CRM, Salesforce or whatever you use. You give us that connector, and we use it to pull data into your Snowflake. You control what data we can read.
- Phoebe LaceyAnd how often does the data refresh?
- Lewis KerrEvery night. By seven in the morning your local time, the previous day's data is all in the brain. It's not real-time, but it's fresh enough that you won't be working with stale data.
- Duncan EaleyFair. So what happens to the implementation fee if we back out?
- Lewis KerrIt's not refundable. But you've got a thirty-day termination clause: so if after go-live you find it's not working, you give us notice and you're out after thirty days. You don't renew.
- Duncan EaleySo we're locked in for the implementation period, four weeks, and then for the first year of the subscription. After that we can walk?
- Lewis KerrThat's right. Twelve months from go-live, then you can cancel with thirty days notice. But we'll do a quarterly check-in to make sure you're happy, and honestly, most customers renew. We're pretty good at this.
- Phoebe LaceyWhat about user growth? If we hire more people, what does that cost?
- Lewis KerrStarter comes with fifteen users included. If you go above that, we charge pro-rata for additional users. So if you've used part of the year with ten users and you want to add five more for the last quarter, you'd pay a quarter of the annual fee for those five, prorated from that point forward.
- Duncan EaleyOkay. I think that all makes sense. When would we need to sign to hit the timeline in the proposal?
- Lewis KerrThe proposal says we'd go live mid-September. To hit that, I'd want the order form signed in the next couple of weeks, so by late August ideally, but I can be a bit flexible.
- Phoebe LaceyCan we get back to you early next week? I want to make sure Duncan's comfortable, and then we'll sign.
- Lewis KerrAbsolutely. If there's anything you want to change in the proposal: price, timeline, scope, just let me know. I can't change everything, but I'll see what I can do.
- Duncan EaleyOne more thing, who's the point of contact for support during the implementation?
- Lewis KerrThat's Hannah Lowe, you met her in the demo. She'll be running the whole implementation from our side. If anything goes wrong or you have questions during those four weeks, you ping her and she sorts it. She's excellent.
- Phoebe LaceyGreat. That gives me confidence. I'll work with Duncan and we'll get the signed order form back to you early next week.
- Lewis KerrBrilliant. I'll send you the order form and the master services agreement this afternoon, just the formal documents you'll need to sign. You have any other questions before then?
- Duncan EaleyI don't think so. Thanks, Lewis.
- Lewis KerrCheers, Duncan. And Phoebe, great to work with you both. I'll get those documents over today. Speak soon.
