Wendy Skelton, Operations Director, described spreadsheet silos across three care homes. Nell Ashcombe pitched Starter with a £6,000 implementation and £20k a year. Demo on the customer's own data agreed.

What happened: Nell Ashcombe ran a discovery call with Wendy Skelton. Wendy said finance, operations and HR each hold their own spreadsheets, and board reporting takes days.

Customer view: Wendy called the pricing more reasonable than she expected. She asked about expansion and whether the price covered all three homes.

Commercial: Nell quoted Starter at about £6,000 implementation and around £20k a year, with 15 users and four connectors. Growth at £44k was mentioned as the expansion path.

Watch: Wendy owes the HR system name by Friday, and Nell is to send demo slots. The call does not show who else would attend the demo or whether a budget is approved.

Follow-up

Next steps

As at Fri 9 Oct 2026
  • Wendy Skelton to confirm the HR system name by Friday.
  • Nell Ashcombe to send demo slots and a follow-up email with the timeline.
  • Run a demo on the customer's own Xero, Zendesk and HR data with stakeholders present.

Risks

As at Fri 9 Oct 2026
  • The HR system name is still unknown, which could affect connector scoping and the stated build time.
  • Operations data sits in spreadsheets and loose files, which may be harder to connect than a system.

Opportunities

As at Fri 9 Oct 2026
  • Starter covers all three homes on one brain at the quoted subscription.
  • Growth is a clear expansion path once users and systems grow.

Hi Wendy. How's your week been?
  2. Wendy Skelton
    Wendy Skelton
Good, thanks. Looking forward to learning about what you do.

Great. So I'm Nell, I run BG-Demo. We build an AI layer over all your data. I want to understand first what your main pain point is. What's the thing keeping you up at night?
  4. Wendy Skelton
    Wendy Skelton
So we operate three care homes. We've got a spreadsheet nightmare. Everybody's got their own spreadsheet: finance has got occupancy, operations has got complaints, HR's got staffing. Nobody can see the whole picture. And when we need to report to the board, it takes us days just to pull the numbers together.
  5. Nell Ashcombe
    Nell Ashcombe
That's really common. So the brain would let you ask one question and get data from all those sources at once. Do you have those systems: finance, HR, operations: in some kind of software, or is it all really spreadsheet-based?
  6. Wendy Skelton
    Wendy Skelton
We're using Xero for finance. For HR we've got a system, I can't remember the name. And operations is just spreadsheets and loose files.
  7. Nell Ashcombe
    Nell Ashcombe
Do you have any helpdesk or ticketing system?
  8. Wendy Skelton
    Wendy Skelton
We use a basic system for complaints from residents. Zendesk, I think.
  9. Nell Ashcombe
    Nell Ashcombe
Perfect. So Xero, Zendesk, and the HR system, you'll remember the name, that's a good starting point. Here's how it would work. We build connectors to each system. Every night we pull the data in and create this queryable layer. You ask it a question: like, what was occupancy last month and how many complaints did we get: and it answers it, with numbers.
  10. Wendy Skelton
    Wendy Skelton
That would be amazing. How long does something like that take to build?
  11. Nell Ashcombe
    Nell Ashcombe
Depends on complexity. For a care home with Xero, Zendesk and an HR system, we're probably looking at four to six weeks. We'd do a security review on your data, make sure everything's encrypted properly.
  12. Wendy Skelton
    Wendy Skelton
And how much does it cost?
  13. Nell Ashcombe
    Nell Ashcombe
There's an implementation fee: that's about 6000, and it covers the setup. Then an annual subscription. For your size, that would be around 19500 a year.
  14. Wendy Skelton
    Wendy Skelton
    Per home, or total?
  15. Nell Ashcombe
    Nell Ashcombe
Total. You'd get all three homes on the same brain.
  16. Wendy Skelton
    Wendy Skelton
Right. That's more reasonable than I thought.
  17. Nell Ashcombe
    Nell Ashcombe
And that's our Starter tier, you get 15 users, so whoever needs to query the data. Four connectors. Once you get comfortable with it, you can expand if you want more users or more systems.
  18. Wendy Skelton
    Wendy Skelton
    What would expansion look like?
  19. Nell Ashcombe
    Nell Ashcombe
We have a Growth tier as well: that's 44000, gives you more users and more connectors, plus quarterly business reviews. But I'd start with Starter and see how it goes.
  20. Wendy Skelton
    Wendy Skelton
Okay. So what's the next step?
  21. Nell Ashcombe
    Nell Ashcombe
A couple of things. First, can you find out the name of your HR system? That'll help me scope it properly. Second, we'd do a demo on your actual data: show you what the brain would look like with your Xero, Zendesk and HR data in there.
  22. Wendy Skelton
    Wendy Skelton
How long does the demo take?
  23. Nell Ashcombe
    Nell Ashcombe
About an hour. We'd need someone from your team who knows the data: finance, operations, whoever. And ideally you'd gather a few stakeholders so we can show them what's possible.
  24. Wendy Skelton
    Wendy Skelton
I can definitely set that up. When would that be?
  25. Nell Ashcombe
    Nell Ashcombe
I'm pretty flexible. Next couple of weeks?
  26. Wendy Skelton
    Wendy Skelton
Yeah, that works. Let me find that HR system name and come back to you by Friday.
  27. Nell Ashcombe
    Nell Ashcombe
Perfect. And then I'll send you a calendar invite with some demo slots. Anything else?
  28. Wendy Skelton
    Wendy Skelton
No, I think that's it. This has been really helpful.
  29. Nell Ashcombe
    Nell Ashcombe
Excellent. I'll send you a follow-up email with the timeline and what we need from you. Looking forward to the demo.
