What this says
As at Fri 9 Oct 2026At the 11 Nov 2025 QBR, active users were up by about a fifth, to just under twelve a day against fifty licensed. Finance Director Philip Annear accepted the time saving but said he wants to think about the licence gap before renewal.
What happened: Daniel Okafor ran the 11 Nov 2025 QBR with Philip Annear and Dan Hosken, with Tom Ashdown joining late. Active users were up by about a fifth, to just under twelve on an average day against fifty licensed.
Customer view: Dan said account managers now see the helpdesk, orders and contract review in one question. Philip accepted that chasing costs time and asked for it written down in a form he can show someone.
Commercial: Tom raised the renewal, with the term ending 27 Dec 2025 and renewal on 28 Dec 2025. He quoted £48k a year and said he would confirm it on the paperwork, and Philip answered that he wants to think about fifty licences with twelve in use.
Watch: Dan, the admin, wants to build dashboards, which Growth includes, and Philip said to do it and tell him what changes. More account managers using it by the new year is the case Daniel is relying on.

Transcript
- Daniel OkaforGood afternoon, everyone, and thank you for your time. Let me just check who's here. Philip, Dan, and Tom's on his way, I think. Ah, there he is.
- Tom AshdownAfternoon, sorry, bit late, I was stuck on a call that wouldn't end. How's the week treating everybody? Dan, you survived the quarter-end?
- Dan HoskenJust about. Bit of a busy one. Good afternoon.
- Philip AnnearAfternoon. Usage first, please. Who's using it?
- Daniel OkaforYes, I thought you might. So, compared with the quarter before, active users are up by about a fifth. On an average day over the last month we have just under twelve people active against your fifty licensed users. It's the best the account has looked, honestly.
- Philip AnnearUp by a fifth. From what?
- Daniel OkaforFrom around ten, so it's a gradual climb rather than a spike. I'd rather say that plainly. But the direction is what matters, and it's consistent across the month, not one busy week.
- Dan HoskenThat fits what I see. A couple of new account managers started using it after the summer, and word got round a bit. One of them asked me last week how to filter by depot, which I took as a good sign.
- Tom AshdownThat's lovely to hear. Which depot, Avonmouth or one of the satellites?
- Dan HoskenBoth, really. Avonmouth is the bulk, but the smaller depots have started asking too, because their clients have the same excursion questions.
- Philip AnnearAnd what does it save us?
- Dan HoskenCan I take that? Before, if a client rang about a temperature excursion, the account manager had to go into the helpdesk, then find the orders, then dig out the contract review, and ring me if something looked odd. Now it's one question and they see all three together. It's not glamorous, but it saves them the chasing, and the client gets an answer on the call.
- Philip AnnearChasing costs time. I'll accept that. I'd like it written down in a form I can show someone.
- Daniel OkaforOf course. Just to close the loop, I've already got the usage summary half drafted, and I'll make sure it sets out what the account managers use it for in Dan's words. I'll come back to you by the end of this week.
- Philip AnnearThank you.
- Daniel OkaforHow is the team finding it, Dan? Not just the numbers, the day to day. Is it quick enough, is it right?
- Dan HoskenMostly right, yes. The nightly refresh is landing before the morning, so when people open it at seven or just after, the numbers are the ones from the day before. That's the thing they'd notice if it wasn't.
- Daniel OkaforGood. The refresh is meant to be complete by 07:00 each business day, and I've not seen anything this quarter that suggests otherwise. If you ever see it late, tell me before it becomes a conversation with Philip.
- Philip AnnearQuite. I don't like conversations I wasn't warned about.
- Tom AshdownHa, no, that's well known, Philip. Never a surprise on the invoice, that's the rule.
- Daniel OkaforOn tickets, three in the last month and none of them high priority. They were all handled and closed. I'll list them in the summary, so you have them in front of you, Dan, in case you want to challenge any of it.
- Dan HoskenI remember them. Nothing dramatic. One was me not remembering where a setting lived, to be fair.
- Daniel OkaforThose are the best kind. Now, Dan, you're the admin on this, so I wanted to ask you directly. Is there anything you want from the brain that you can't get?
- Dan HoskenHmm. Honestly, a bit more on the dashboards. Growth includes the dashboards builder, doesn't it? I've had a go at one or two, but I'd like to do it properly, so the account managers have something they open without asking.
- Daniel OkaforIt does, yes. It's part of your tier. I can sit with you for an hour and walk through it on your own data, rather than me talking at a slide. Would that suit?
- Dan HoskenThat would be brilliant, yes. Maybe after the end of the month, things are mad before then.
- Philip AnnearDan, is that going to make people use it more, or is it a nice thing to have?
- Dan HoskenI think more. At the moment an account manager has to know what to ask. A dashboard puts the useful bits in front of them. The ones that already use it would keep using it, and the ones that don't might start.
- Philip AnnearThen do it, and tell me what changes.
- Dan HoskenWill do.
- Tom AshdownCan I raise the renewal while we're all here, then? Not to rush anyone. The term ends on 27 Dec 2025, and renewal's on 28 Dec 2025. Philip, you told Daniel you want it in good time.
- Philip AnnearI do. Send me the renewal in good time.
- Tom AshdownI'll get it over to you shortly, and I'll put the amount in writing. The order form is £47,500 a year, and I'll confirm that on the paperwork instead of quoting it from memory. If anything about it needs looking at, you'll hear from me first.
- Philip AnnearFifty licences, twelve in use. I'll want to think about that.
- Tom AshdownThat's fair, and I'd rather you did. Honestly, with the numbers going the right way I'd be comfortable having that conversation, but let's see what the summary says first.
- Daniel OkaforAnd I think the dashboards session is a good answer to part of that, Philip. If more of the account managers are using it by the new year, that's a better case than anything I say today.
- Philip AnnearAgreed. I'll see what the figures look like.
- Dan HoskenOne other thing, sorry, and it's small. Is there anything I should know before the year-end? Changes on your side, maintenance, anything like that? I'd rather not be caught out over the holidays.
- Daniel OkaforNothing that I know of, and I wouldn't guess a date I don't own. If anything comes up I'll tell you directly and in good time, and I'll make sure support knows to tell you too.
- Dan HoskenThanks, that's all I wanted.
- Tom AshdownRight. So, to recap, because I'm bound to forget. Daniel sends the usage summary and the ticket list by the end of this week. Daniel and Dan find an hour for the dashboards, after the end of the month. And I send Philip the renewal shortly, with the amount written down. Did I miss anything?
- Philip AnnearNo. Thank you both.
- Daniel OkaforThank you, all of you. It's been a really good quarter to look at. Best wishes, and speak soon.
- Tom AshdownCheers, everyone. Let's keep this up.
- Dan HoskenBye, thanks.
