What this says
As at Fri 9 Oct 2026Pieter van Dam says usage has grown and the team asks questions evenly. He raised more users from planning, one possible stale-data report, and asked that the renewal not surprise him. No tickets were raised in the last month.
What happened: Marcus Bell showed usage for Brakkevoort Logistics on 28 Jul 2025. Active use averaged around eleven people a day, against 40 licensed users on the Growth plan.
Customer view: Pieter credits his Monday shipper review habit and says the single view of tickets and calls helped. He wants no surprise at renewal.
Commercial: planning-side staff want to log in, which is possible headroom for extra users, but Marcus judged it too early to involve Tom Ashdown. The call put the contract end at 31 Mar 2026 and renewal at 1 Apr 2026; the evidence does not show what has happened since.
Watch: one manager reported Monday numbers that looked like Friday. Pieter thinks he looked before the refresh and will send an example.

Follow-up
Next steps
As at Fri 9 Oct 2026- Marcus Bell to check seats given against actual logins and, if it looks tight, set up a short conversation with Tom Ashdown.
- Marcus Bell to put the renewal in the calendar and send Pieter a placeholder.
- Pieter van Dam to send an example of the stale numbers so Marcus can check the records for that day.
Risks
As at Fri 9 Oct 2026- A manager reported Monday numbers that looked like Friday, which could be a data freshness problem if the refresh did not finish.
- Pieter does not want to discover at renewal that the account is over its limits, so seat counts need checking before then.
- The evidence does not show whether the renewal conversation took place after the call.
Opportunities
As at Fri 9 Oct 2026- Planning-side staff want access, which could mean extra users beyond the 40 on the Growth plan.
- Usage is spread across the account managers rather than resting on Pieter, which supports a renewal value case.
Transcript
- Marcus BellHello Pieter, can you hear me all right?
- Pieter van DamYes, I hear you. Good afternoon, Marcus.
- Marcus BellAfternoon. Sorry, I'm a minute or so behind, the call before this one overran. Hope the week's treating you well.
- Pieter van DamBusy. Everybody is on holiday and still the shippers email. But fine. Before we start, last time we said I would ask my account managers to try the exception tickets view. What is the plan on your side?
- Marcus BellRight, yes. So I'm going to share my screen, if that's okay, and I want to cover three things. Usage since we last spoke, what your team are actually asking the brain, and then anything you need from us. I've pulled the numbers, so it won't take long.
- Pieter van DamGood. Let's make it concrete.
- Marcus BellOkay, can you see the usage page?
- Pieter van DamI see it. Yes.
- Marcus BellSo the headline is active users. Over the last month you've averaged around eleven people a day. The quarter before that it was well under half of that, so it's more than tripled. That's a big jump, honestly. You've got 40 licensed users, so there's plenty of room still.
- Pieter van DamEleven. Yes. That is the account managers now. In spring it was me and two or three others. To be clear, I pushed it in the weekly shipper review. Every Monday we open the brain first, then the spreadsheet.
- Marcus BellThat's exactly what you want to hear. Mm. And that habit is what moves the numbers, rather than anything we did.
- Pieter van DamMaybe. But you made the view easy. Shipper account, tickets, calls, all on one page. Before, they had three tabs and they did not look at two of them.
- Marcus BellYeah. Can I show you what they're asking? This is the questions list, anonymised by user but you can see the pattern.
- Pieter van DamPlease.
- Marcus BellSo a lot of it is along the lines of, which shippers have had repeated exceptions this month, and what was said on the last call with them. Then there's a cluster around contract terms for particular shippers, and a few where people are asking for a summary before a visit.
- Pieter van DamThe summary before a visit is good. That is the thing I wanted. An account manager walks into a shipper meeting and already knows the problems. No surprise.
- Marcus BellRight. And I'd say it's spread fairly evenly, which is healthy. It's not one person doing most of the asking.
- Pieter van DamNo, I looked at that. At the start it was mostly me. Now I am not the biggest. This is good, I think. What do you think?
- Marcus BellI agree. If you left tomorrow, which I hope you won't, the team would carry on. That's the test I'd use.
- Pieter van DamI am not leaving. Too much work.
- Marcus BellHa. Good. So next, tickets. You've raised nothing with us in the last month, no priority ones, nothing at all. I'd normally say that could be silence, but with usage going the way it is, I read it as things just working.
- Pieter van DamYes. It works. If something broke, I would tell you, you know that. I do not wait.
- Marcus BellI do know that, and I appreciate it.
- Pieter van DamNow a question. We have more people wanting to log in. Some from the planning side, not only account management. Is there a limit? What happens?
- Marcus BellSo your Growth plan covers 40 users. You're nowhere near that on active use, but I'd need to check how many have actually been given a seat versus who's logging in. It's a soft limit anyway, so nobody gets blocked on day one. If you were heading past it, we'd look at adding users, and for anything commercial I'd bring in Tom.
- Pieter van DamTom Ashdown. Yes. Okay. And what is the plan for that? When do we talk?
- Marcus BellNot yet, I'd say. You've got room today. Let's see how the planning team get on, and if you tell me in a few weeks it's looking tight, I'll set up a short conversation with Tom. Does that work?
- Pieter van DamThat works. But I want to say it now: I do not want to find out at the renewal that we are over something.
- Marcus BellFair. Noted. And the renewal is some way off. Your contract runs to 31 Mar 2026 and renews on 1 Apr 2026, so we've got a good while. I'll make sure we talk about it properly well before that.
- Pieter van DamGood. Put it in the calendar. Not only in your head.
- Marcus BellWill do. I'll do it as a note on my side and send you a placeholder as well.
- Pieter van DamOkay. Another thing. The data. Is it fresh in the morning? One of my managers said that on Monday the numbers looked like Friday.
- Marcus BellHm. Do you know which shipper, or which view?
- Pieter van DamNo. He did not say. I think he looked too early, before the refresh. I will ask him to send me an example.
- Marcus BellThat'd be great. If he sends it to you, forward it on and I'll have a look at the records for that day. The nightly refresh should be done before the working day starts, so if it's not, I want to know.
- Pieter van DamGood. So, actions. I send you the example. You put the renewal in the calendar. And you check the seats against the logins.
- Marcus BellYes, those three. I'll also send you the usage page as a short summary, so you can drop it into your review if it's useful.
- Pieter van DamYes, please. With the shipper list, if possible.
- Marcus BellHappy to. Anything else from your side?
- Pieter van DamNo. Good call. Short. I like it.
- Marcus BellThanks, Pieter. Speak soon, and enjoy what's left of the summer.
- Pieter van DamGroet. Bye.
