What this says
As at Fri 9 Oct 2026Onboarding call on 17 Jan 2025. Callie Brennan walked Emma Haworth and Luke Oakes through the Salesforce and job-ticket connectors, the nightly refresh and the admin panel. Users already sit at the Starter figure of fifteen.
What happened: Callie switched on the Salesforce and job-ticket connectors and set the first refresh for that night. She showed Emma the admin panel as the named admin.
Customer view: Luke asked practical questions about load time, refresh and failure handling. Emma said the admin panel was clearer than she expected, so the tone was positive.
Commercial: Callie said the customer is at fifteen licensed users on Starter and pointed to the add-on for extra seats. Any new joiner is an add-on conversation.
Watch: Callie quoted a business day response on Starter. The evidence does not show the order form terms behind that, so check it against the executed paper.

Transcript
- Callie BrennanHi Emma, Luke, thanks for taking the time. Right, so today we're going to get your connectors live. I've got your Salesforce and job-ticket system credentials. Before we start, let me just walk you through the plan for the next hour.
- Luke OakesMorning Callie. Sounds good. What do you need from us?
- Callie BrennanEmma, you're the admin, so I'm going to show you how to manage users and connectors. Luke, you're the champion, so I'll walk you through what the brain does once it's live. Sound good?
- Emma HaworthYep, that works.
- Callie BrennanRight. So we'll switch on the Salesforce connector first, then your job tickets. Before we switch on the refresh, I need to make sure all the mappings are clean. Once they're good, the first refresh runs tonight, and by tomorrow morning you'll have data in the brain.
- Luke OakesSo how long does the first load take?
- Callie BrennanDepends on how much data you've got. Salesforce is usually quick, a couple of hours for a fresh account. Job tickets might be similar. By tomorrow at seven, it should all be there.
- Emma HaworthAnd after that, how often does it refresh?
- Callie BrennanEvery night. Complete refresh by seven in the morning. That maps cleanly, your team gets the latest data when they come in.
- Luke OakesWhat about if something breaks in the refresh? What's the process?
- Callie BrennanUsually it's a connector issue. Salesforce changed something, or your job system changed a field. We monitor it, but if you see something odd, Emma just raises a ticket and we'll dig in. You're on Starter, so we respond within a business day.
- Emma HaworthOkay. And users, how many can we have?
- Callie BrennanStarter is fifteen. You're at fifteen licensed users. If you need more, we can add them, there's an add-on for extra seats.
- Luke OakesWhat can people actually do once it's live?
- Callie BrennanYou can search in plain English...'show me all open jobs for this customer and their contract end date'. The brain pulls from Salesforce and job tickets and gives you one answer. You can also build pages, basic dashboards, no code needed.
- Emma HaworthWho can build pages?
- Callie BrennanAny of your fifteen users. But Emma, as admin, you can lock it down so people can only see pages they're supposed to. You manage permissions.
- Luke OakesAnd what's the support like?
- Callie BrennanYou've got a check-in six months from now, so July. If you need help before that, you can raise a ticket. Response time is within a business day on Starter.
- Emma HaworthOkay. How do I manage all this: users, pages, that sort of thing?
- Callie BrennanI'll show you the admin panel now. It's pretty straightforward: you add or remove users, set permissions, check connector status. Let me screen-share.
- Callie BrennanSo here's the users tab. You can see your fifteen. Add more by clicking here. The connectors tab shows Salesforce and job tickets, both running. And this is where you'd build and manage pages.
- Emma HaworthAll right. That's clearer than I expected.
- Callie BrennanGood. One thing, if your Salesforce admin changes a field or adds a mapping, just give us a heads-up. We'll update our end so the brain knows about it.
- Luke OakesWill we need to do anything when you're refreshing at night?
- Callie BrennanNope. It just runs. You'll wake up with fresh data. If anything goes wrong, we'll flag it and Emma can check the admin panel to see what happened.
- Emma HaworthBrilliant. So we're good to go?
- Callie BrennanYeah. Let me just confirm your Salesforce and job-system access is live, yes, all good. So I'm going to switch on the refresh tonight. First load will be complete by seven tomorrow morning. I'll send you a setup note with all of this and contact details if you hit any snags.
- Luke OakesCheers, Callie. Really helpful.
- Emma HaworthYep, thanks.
- Callie BrennanThanks both. Speak soon.
