What it says
What this says
Current to 13 Oct 26Internal draft renewal proposal for Penmaen Software's Growth subscription, prepared 11 May 2026 and not shared with the customer. The current term ends 24 Jul 2026. The renewal price is not confirmed, and no availability or P1 response figure is stated.
What it is: an internal first draft by Tom Ashdown with Marcus Bell, marked "Status: Draft." It proposes renewing on Growth for one year, billed annually in advance, with 40 licensed users.
Commits: nothing binding. It states the contracted annual recurring revenue as £48k, but gives no renewal price: "To be confirmed against the current price book before it is quoted".
Unusual: "None proposed; first-term discounts do not carry into a renewal". It also flags that quiet tickets alongside a thin user base may be "a quiet account rather than a happy one".
Not settled: the renewal fee, the right commercial contact, whether users have fallen because of team size or habits, and which connectors stay. The term end of 24 Jul 2026 is before the as-of date, and the evidence does not show whether a final proposal or order form followed.

Body
Penmaen Software - Renewal Proposal v1
Status: Draft. Prepared 11 May 2026 by Tom Ashdown, Account Executive, with Marcus Bell, Customer Success Manager. Not yet shared with Penmaen Software.
1. Purpose
This paper sets out how we propose to renew Penmaen Software's subscription to B-Glass when the current term ends on 24 Jul 2026. It is an internal first draft so that we agree the shape of the conversation before anything goes to the customer.
2. Where we are today
| Item | Position |
|---|---|
| Customer | Penmaen Software, Cardiff |
| Industry | B2B software (booking and membership software for gyms and leisure centres) |
| Customer since | 25 Jul 2024 |
| Tier | Growth |
| Licensed users | 40 |
| Contracted annual recurring revenue | £48k |
| Current term ends | 24 Jul 2026 |
| Account owner | Tom Ashdown |
| Customer success manager | Marcus Bell |
Penmaen bought Growth so that its customer success team could read tickets, renewals and usage per leisure operator in one place. The subscription has been paid on time and there are no overdue invoices.
3. How the brain is being used
Read the whole document (3,522 characters)
- Active users sit well below the 40 licensed, and the average over the last thirty days is down a little on the previous quarter.
- There have been no support tickets in the last thirty days, and none at high priority.
- Payment history is clean, so there is no sign of a money problem. The open question is value, not goodwill.
A low ticket count alongside a thin user base can be a quiet account rather than a happy one, so we should not read the silence as health without asking.
4. Proposal
We propose to renew Penmaen on the Growth tier for a further annual term from the end of the current term, with the same 40 licensed users and the same connector allowance, subject to what the customer tells us in the renewal conversation.
| Element | Proposal |
|---|---|
| Tier | Growth |
| Term | One year, billed annually in advance |
| Users | The Growth user allowance, 40 licensed users |
| Renewal price | To be confirmed against the current price book before it is quoted |
| Discount | None proposed; first-term discounts do not carry into a renewal |
5. Open points
- Price. The renewal fee has not been confirmed. Tom to check the price book position for a customer renewing in this window and agree it with Marcus before any figure is shared.
- Value case. We need a short, concrete summary of what Penmaen's customer success team gets from the brain, using questions asked and the dashboards they have built, so the conversation starts with value.
- Usage. Find out whether the drop in active users reflects a change in team size or in habits, and whether a refresher session would help.
- Who we are talking to. Confirm the right commercial contact at Penmaen for the renewal and whether anyone new has joined the decision.
- Scope. Ask whether Penmaen wants to keep the current connectors or change any of them as their own systems have moved on.
