Renewal proposal dated 24 Jun 2024 from Tom Ashdown for the Starter tier at £23k a year for 25 licensed users, billed annually in advance. It follows the term ending 29 Aug 2024. It is an offer, not an executed order form.

What it is: a version 1 renewal proposal, stored as final, prepared by Tom Ashdown for the term ending 29 Aug 2024. It proposes a one-year Starter renewal at £23k "Annually in advance, standard payment terms".

Commits: nothing binding, since it is a proposal. It says the renewal order form will be issued "for signature ahead of 29 Aug 2024", and that the Starter feature set, connectors, nightly refresh by 07:00 and six-monthly check-in stay the same.

Unusual: the proposed £23k is higher than the Starter list price in the company brief, and the document does not explain the difference. It states no discount.

Not settled: the evidence does not show whether the renewal was signed. Usage is described as "around six on average" against 25 licensed users, which is the headroom Tom raises. It is also two years old and should not be read as current terms.

Ardenmore Pension Administration - Renewal Proposal

Status: Final, version 1 Date: 24 Jun 2024 Prepared by: Tom Ashdown, Account Executive, BG-Demo Customer success manager: Marcus Bell

1. Where we are

Ardenmore Pension Administration joined BG-Demo on 30 Aug 2023 on the Starter tier, for its client-relationship team. The current term ends on 29 Aug 2024. This proposal sets out what a renewal would look like so there is plenty of time to talk it through.

2. How the first year has gone

  • Licensed users: 25.
  • Usage: a small, steady group of regular users, around six on average over the last month, broadly flat on the previous quarter.
  • Support: one ticket in the last month, none high priority.
  • Invoices: nothing overdue.

The brain is being used by the people closest to the client schemes, and the account has been quiet and tidy. There is headroom: the licence covers far more people than are using it day to day. That is an opportunity to bring more of the team in, and I'd like to talk to you about it before the renewal date.

There is no implementation fee on a renewal. The annual price is for the subscription only.

4. What stays the same

  • The Starter feature set: pages, chat and search.
  • The same connectors you have live today.
  • Nightly refresh complete by 07:00 on business days.
  • The Starter service levels and service credits as set out in your order form.
  • Your six-monthly check-in with Marcus.

5. Options to think about

  • More adoption: Marcus can run a short session for the wider client-relationship team to lift day-to-day use.
  • A step up: if more teams want to use the brain, Growth adds the dashboards builder and quarterly reviews. No obligation, but worth a chat.
  • On-site training day: available as an add-on if that would help.

6. Next steps

  1. Ardenmore to let Tom know any changes in team, systems or priorities since last year.
  2. Tom and Marcus to agree a time in the diary to go through this proposal.
  3. Once agreed, BG-Demo issues the renewal order form for signature ahead of 29 Aug 2024.

Any questions in the meantime, leave them with me.

Cheers, Tom
