What it says
What this says
Current to 13 Oct 26Internal draft renewal proposal from Tom Ashdown, issued 19 Jun 2024, for a twelve-month Starter renewal at £23k a year for 25 users. The term ends on 29 Aug 2024. It is marked Draft and has not gone to the customer.
What it is: an internal draft renewal proposal for the Starter subscription. It says "Prepared for internal review before it goes to the customer."
Commits: nothing binding. It proposes an annual price of £23k, billed "Annual, in advance, on standard payment terms", for 25 licensed users, with the current term ending 29 Aug 2024.
Unusual: the draft states a deal amount and a contracted ARR line both at £23k, yet it also asks that the invoice history be checked against the order form figure before sending. The price is unverified.
Not settled: whether the customer wanted more users or connectors, whether a final version was ever issued, and whether the renewal was signed. The text does not say. It is dated 2024, so it is stale against the current as-of date and should not be read as the current price or term.

Body
Ardenmore Pension Administration - Renewal Proposal v1
Status: Draft. Prepared for internal review before it goes to the customer. Issued 19 Jun 2024.
Prepared by: Tom Ashdown, Account Executive, BB-Demo Customer success manager: Marcus Bell Customer: Ardenmore Pension Administration, Birmingham
1. Context
Ardenmore Pension Administration is a third-party administrator for about fifty occupational pension schemes run by Midlands employers. The client-relationship team joined BB-Demo on 30 Aug 2023 on the Starter tier, and the current term ends on 29 Aug 2024.
This proposal sets out how we would renew the subscription for a further twelve months so that the team keeps its place in the brain without a gap in service.
2. How the brain has been used
- The account is licensed for 25 users on the Starter tier.
- Day-to-day use comes from a small group of regular users, a fraction of the licensed total. The pattern has been steady over the last quarter, with no sharp rise or fall.
- Support demand has been light: a single ticket in the last month and nothing high priority.
- There are no overdue invoices. Ardenmore has paid on time throughout the term.

On the evidence we have, this is a quiet but healthy account. What we cannot see from usage alone is how much the team relies on the answers it gets, so we would like to hear that from the customer directly before the proposal is finalised.
3. Proposed renewal
| Item | Detail |
|---|---|
| Tier | Starter |
| Deal type | Renewal |
| Licensed users | 25 |
| Annual price | £23k |
| Annual recurring revenue (contracted) | £23k |
| Deal amount | £23k |
| Billing | Annual, in advance, on standard payment terms |
| Current term ends | 29 Aug 2024 |
The renewal keeps the scope of the current order form: one team, the Starter connector allowance, and pages, chat and search. The six-monthly check-in continues.
4. What stays the same
- The Starter service levels, including availability and the nightly refresh by 07:00 on business days.
- Hosting inside the customer's own Snowflake account.
- Account ownership with Tom Ashdown and day-to-day adoption support from Marcus Bell.
5. Open points for review
- Confirm with Marcus whether the client-relationship team has asked for more users or another connector. Nothing in the record suggests it, but it is worth asking before we send.
- Check the invoice history in accounting against the order form figure before the final copy goes out.
- Decide whether to offer a short refresher session for the team, given that regular use is concentrated in a few people.
6. Next steps
- Tom to review this draft with Marcus this week.
- Tom to agree a conversation with the customer's sponsor ahead of the end of the term.
- A final version will replace this draft once the open points above are closed.
