Draft first proposal from Tom Ashdown dated 23 Oct 2024 for the Enterprise tier. It quotes £115k as the annual subscription and £145k as the total deal value including one-off implementation. Service levels are not yet stated as figures.

What it is: a first-draft proposal, marked "Draft for discussion", for an Enterprise brain across key accounts, collections and complaints. It is not an order form and binds nobody.

Pricing: "£115k is the annual price of the subscription. £145k is the total value of the deal and includes the one-off implementation fee, so it should not be read as a yearly price." Neither figure is ARR.

Unusual: the document sets no availability %, P1 response time or refresh time. It says only that "The exact levels will be written into the order form".

Not settled: source systems in scope, add-ons, data residency, start date, sponsor and billing frequency are listed as open points. Version two was to confirm scope, service levels and invoicing. The evidence does not show whether it was issued or signed.

Body

Brimscombe Energy - Proposal v1

Draft for discussion. Prepared by Tom Ashdown, Account Executive, BB-Demo. Wednesday 23 October 2024.

This is a first draft. Commercial terms are not final until an order form is signed under the master agreement, and several points below are marked as open.

1. Context

Brimscombe Energy, based in Gloucester, supplies business gas and electricity to about sixty thousand SME and corporate sites and is licensed by Ofgem. Your key-account, collections and complaints teams each hold part of the picture of a business customer, and that picture sits in different systems: the CRM, the call recorder, the helpdesk, the accounting system and the billing records.

When a business customer rings about a bill, the person answering often has to ask a colleague, or open several tools, before they can see the sites, the contracts, the recent calls and what has been invoiced. Collections and complaints teams tell us they spend time reconciling that picture by hand, and that two teams can hold different versions of the same customer.

You have asked us to show how the company brain could give those three teams one place to ask.

2. What we propose

Read the whole document (5,896 characters)

BB-Demo will build and run the company brain inside Brimscombe Energy's own Snowflake account, so your data stays in your environment. The brain sits as one AI-queryable layer over the sources your teams already use, and each business customer is presented with their sites, contracts, calls and bills together.

We propose the Enterprise tier, because the scope is company-wide, the buyer is regulated, and the security review and single sign-on requirements are part of the decision.

Who it is for

TeamWhat they will ask the brain
Key accountsWhat has this business customer bought, across which sites, and what was said on the last calls?
CollectionsWhat is outstanding, what has been promised, and who spoke to the customer last?
ComplaintsWhat is the history of this customer's contacts, and are there open issues on other sites?

Scope

  • Connection of the source systems your teams rely on, to be agreed with your IT colleagues in the discovery phase.
  • Pages, chat and search across the connected data, with the dashboards builder for team leads.
  • Single sign-on and user provisioning through SSO and SCIM, as included in the Enterprise tier.
  • An executive sponsor from BB-Demo for the term of the subscription.
  • Security review support during implementation, included in the Enterprise implementation.
  • Onboarding and training for the three teams named above.

3. Pricing

ItemBasisAmount
Enterprise subscriptionAnnual, invoiced in advance£115k
ImplementationOne-off, fixed fee, included in the total belowIncluded in total
Total deal valueSubscription for the first year plus the one-off implementation£145k

To be clear on the figures: £115k is the annual price of the subscription. £145k is the total value of the deal and includes the one-off implementation fee, so it should not be read as a yearly price. The implementation is a fixed fee, so it will not move if the work takes a little longer than planned on our side.

All amounts are in pounds sterling. Payment terms and invoicing will follow the standard terms in the order form. I will confirm the exact invoicing schedule before anything is signed.

4. Service levels

The Enterprise tier carries the Enterprise availability commitment and the fastest first-response time for priority-one issues. The nightly refresh is completed before the start of the business day. Under Enterprise, service credits apply to both availability and data freshness. The exact levels will be written into the order form, and I will set them out in full in the next version of this proposal.

5. How we would run it

PhaseWhat happensOwner
DiscoveryAgree sources, teams and the questions each team most wants answeredTom Ashdown with your sponsor
Security reviewAnswer your questionnaire and walk your IT and information security colleagues through the Snowflake set-upBB-Demo, with your IT team
BuildConnect sources, load data, configure access and single sign-onBB-Demo implementation team
LaunchTraining for key accounts, collections and complaintsBB-Demo, with team leads
AdoptionRegular reviews of usage and value, and the quarterly business reviewDaniel Okafor, Customer Success Manager

Daniel Okafor will own adoption and the review cadence once you are live. I will stay as your commercial contact throughout.

6. Open points

These are still to be settled and are the reason this version is a draft:

  1. Which source systems are in scope for the first release, and which can follow later.
  2. Whether you want any add-ons, for example extra support hours or a sandbox environment, priced separately from the figures above.
  3. Data residency requirements, if your information security team has any beyond hosting in your own Snowflake account.
  4. Your preferred start date and who will act as sponsor on your side.
  5. Whether you want the subscription billed annually or quarterly.

7. Next steps

  1. You review this draft with your key-account, collections and complaints leads.
  2. We hold a short call to go through the open points and I will leave the questions with you in writing.
  3. I issue version two with the confirmed scope, service levels and invoicing schedule.
  4. Your IT team starts the security review in parallel, so it does not hold up the order form.
  5. We agree the order form under the master agreement.

If anything here does not match how your teams actually work, tell me and I will change it. No drama, it is a draft.

Best, Tom

Data as of Fri 9 Oct 2026. Text marked AI was written by the brain from the records listed in its made-from link; an AI output that cannot cite its evidence is refused and the previous text kept. Where two systems disagree (for example a contract and the CRM), the key facts show both values and mark the difference.
