What it says
What this says
As at Fri 9 Oct 2026Internal draft renewal proposal for the Growth tier, written by Lewis Kerr on 25 Aug 2026. It proposes £55k a year against £47k contracted today, with 40 users and standard Growth service levels. Usage is flagged as an open concern before it goes out.
What it is: an internal draft, marked "Draft, for internal review before it goes to the customer". It has not been issued to Clonvara, and the executed order form decides the terms.
Commits: nothing yet. It proposes "a further twelve months from the end of the current term on 31 Oct 2026", billed "annually in advance, 30-day terms, quarterly on request", with the standard Growth service levels "as in the current order form".
Unusual: the proposed £55k is well above the contracted £47k, and Lewis says the usage picture makes that movement hard to explain. No account has no overdue invoices and no recent tickets, which the draft reads as possible silence rather than satisfaction.
Not settled: which teams stopped using the brain, whether anyone questioned its value, the final user count, who receives the proposal, and the connector and service wording in the executed order form.

Body
Clonvara Insurance Services - Renewal Proposal v1
Status: Draft, for internal review before it goes to the customer
Prepared by: Lewis Kerr, Account Executive, BG-Demo Customer success manager: Amara Obi Date: 25 Aug 2026
1. Context
Clonvara Insurance Services has used the BG-Demo B-Glass on the Growth tier since 1 Nov 2025. The brain brings broker activity, policy queries and claims tickets from the Dublin team into one place. The current term ends on 31 Oct 2026, so the renewal conversation needs to start now.
This draft sets out the renewal on the same tier. It also records an open concern about usage which we should resolve with the customer before the price is discussed.
2. Where the account stands
| Item | Position |
|---|---|
| Tier | Growth |
| Licensed users | 40 |
| Contracted annual recurring revenue | £47k |
| Current term ends | 31 Oct 2026 |
| Overdue invoices | None |
| Support tickets in the last 30 days | None |
The account pays on time and has raised no tickets recently. That is good on the money side, but with no tickets and falling usage it could also be silence rather than satisfaction.
3. Usage: the open concern
Read the whole document (3,141 characters)
The average number of active users over the last 30 days is a small fraction of the 40 licensed users, and it has fallen noticeably compared with the prior quarter. We do not yet know whether this is seasonal, a change of team, or people drifting back to old habits of reconciling systems by hand.
What the evidence does not show: which teams have stopped using the brain, and whether anyone at Clonvara has questioned its value. That needs a conversation, not a guess.
4. Proposed renewal
| Line | Detail | Annual price |
|---|---|---|
| Growth subscription | Renewal, 40 users, standard Growth connector allowance, dashboards builder, quarterly QBRs | £55k |
- Term: a further twelve months from the end of the current term on 31 Oct 2026.
- Billing: annually in advance, 30-day terms, quarterly on request.
- Prices are shown exclusive of VAT.
- Service levels: the standard Growth service levels, as in the current order form.
The proposed annual price of £55k compares with the contracted £47k today. I want to be able to explain that movement in terms of value delivered, and at the moment the usage picture makes that harder.
5. Open points before this goes out
- Agree with Amara Obi what the usage drop is down to, and whether an adoption review should come before the proposal.
- Decide whether the number of licensed users should stay at 40 given current activity. I will not push for more than the usage supports.
- Confirm the executed order form wording on connectors and service levels, as it decides the terms, not this draft.
- Agree who at Clonvara will receive the proposal.
6. Next steps
- Lewis Kerr to review usage with Amara Obi this week.
- Amara Obi to propose an adoption session with the Clonvara team.
- Lewis Kerr to issue the final proposal once the open points are settled, well ahead of the 90-day renewal notice position and the end of the term on 31 Oct 2026.
Kind regards, Lewis
