What this says
Current to 13 Oct 26Tom Ashdown walked Harjit Bains and Elaine Turvey through a £1,975 expansion of the Starter plan for extra users. Elaine wants usage numbers first and will not decide on the call.
What happened: Tom presented an expansion on the existing Starter plan to give seats to client team members already asking for access. He quoted £1,975 for the expansion as a whole, separate from the £20k annual subscription.
Customer view: Harjit said use has widened since the team session and wants named logins for member data. Elaine asked for numbers from the system and said she will not decide on this call.
Commercial: Tom pencilled in Monday 5 February 2024 as a closing marker and said the renewal stays at 30 Aug 2024. Elaine does not like surprises with the renewal, and Tom promised to check how the paperwork treats it.
Watch: The written proposal is an open item, not a signed deal.

Transcript
- Tom Ashdown NoneHello, Harjit. Hello, Elaine. Can you hear me alright? How's your week been so far?
- Harjit Bains NoneGood afternoon, Tom. Busy, but good. We've got a trustee meeting on Thursday so I've been preparing for that all morning.
- Elaine Turvey NoneGood afternoon. Sorry, I'm in a different room, the connection may be a bit odd.
- Tom Ashdown NoneNo worries at all, you sound fine. Right, I'll not take long. Marcus isn't on this one, it's just the commercial side, so I wanted to walk you through the expansion we talked about after last week's review. Harjit, you asked about adding more of the client team. Do I have that right?
- Harjit Bains NoneYou do. After Marcus ran the session for the team, a few more of them started asking if they could have proper access. I'd rather not have people sharing a login. It's not right for member data.
- Tom Ashdown NoneAbsolutely, and that's the right instinct. So what I've put together is an expansion on your existing Starter plan, to cover those extra people. It comes to £1,975. That's the figure for the expansion as a whole, I'd just say I'll confirm it in writing in the proposal so you've got it in black and white, and not rely on me quoting from memory.
- Elaine Turvey NoneCan I ask what that is in relation to what we pay now? I have the figure of nineteen and a half thousand a year in my head.
- Tom Ashdown NoneYes, that's right, £19,500 is your annual subscription, and it stays exactly as it is. The expansion is separate, on top. You've got fifteen licensed users at the moment and this is about giving the people who are already asking proper seats.
- Elaine Turvey NoneMm. And it doesn't change the renewal date, or the terms at renewal?
- Tom Ashdown NoneThe renewal stays at 30 Aug 2024. I'd want to make sure the paperwork says that clearly, and I'll check how it's treated so there's no ambiguity when we get to the summer. Leave that with me.
- Elaine Turvey NonePlease do. I don't like surprises with the renewal.
- Harjit Bains NoneElaine, if I can say something. When you asked last time who is actually using it, I think the honest answer was Sukhvinder and me. That has already changed since the session. People are asking questions about their own schemes, which is what I was hoping for.
- Elaine Turvey NoneThat's encouraging. Can you show me that, though, rather than tell me? Can we justify that to the board? If I'm asked why we're spending more, I need numbers from the system, not a feeling.
- Harjit Bains NoneThat's fair. Marcus can pull the usage since the session. I'll ask him for it, and I'll give you the plain version, who's asking and how often.
- Tom Ashdown NoneI'll flag that to Marcus today so it's with you before you need it. And Elaine, there's no pressure from our side. The date we've pencilled in for closing is Monday 5 February 2024, but that's just where we put a marker. If you need longer, we'll say so.
- Elaine Turvey NoneLet's not rush. I'd like to see the usage first. If it supports what Harjit is saying, I don't see a problem. But I won't decide on this call.
- Tom Ashdown NoneThat's absolutely fine, that's how it should work. So, what I'll do is send the written proposal tomorrow, with the figure and what it covers, and a short note on the renewal date. You read it, look at the usage, and tell me where you've got to.
- Harjit Bains NoneThat works for me. No surprises for the client team either, I'll let them know it's being looked at and not promised.
- Elaine Turvey NoneThank you, Harjit. And Tom, please keep the proposal short.
- Tom Ashdown NoneShort and plain, I promise. Anything else before I let you go? No? Cheers, both. Speak soon.
- Harjit Bains NoneThank you, Tom. Kind regards.
- Elaine Turvey NoneThank you. Goodbye.
