What this says
Current to 13 Oct 26Training session for Orla Keane and Ciara Joyce. Ollie Pearson showed search, chat and pages and built three pages. Only the two of them have logged in so far. Dashboard builder was positioned as a Growth feature.
What happened: Ollie demonstrated search, chat and pages, and built New Clients This Month, Invoices Outstanding Over 30 Days and a clients by region page. Orla called the pages genuinely useful.
Customer view: Ciara said it was really slick. Both asked basic questions on security and data location, which Ollie answered by pointing to the customer's own Snowflake account.
Commercial: Ollie said Starter cannot build its own pages and that Growth adds the dashboard builder. He also noted extra users or connectors are available as add-ons.
Watch: Only Orla and Ciara have logged in, and Ollie said this was the formal session, with a check-in in a month. Adoption beyond the two is not yet shown.

Next steps
Current to 9 Oct 26- Ollie Pearson to send the docs, search syntax guide and help articles.
- Ollie Pearson to build any further pages Orla and Ciara request.
- Ollie Pearson to hold a check-in call about a month after the session.
Risks
Current to 9 Oct 26- Only two people have logged in, so wider adoption is not yet shown.
- Formal training is finished and support is by email, which may leave the wider team without a push to start.
Opportunities
Current to 9 Oct 26- Ciara asked about the dashboard builder, a Growth feature, so an upgrade conversation is possible if page requests grow.
- One spare connector and the user add-ons give room to expand.
Transcript
- Ollie Pearson NoneRight, let's get cracking. Welcome to the training. This is a chance for me to walk you through what the brain is, how to use it, and how to build stuff you need. I'll keep it practical. How many people have logged in since we last spoke?
- Orla Keane NoneJust me and Ciara so far. We wanted to hear what the full picture was before we brought the team in.
- Ollie Pearson NoneFair enough. OK, so let me start with what the brain actually is. It sits between your CRM, your invoicing, your recruiting system, all those things live in their own worlds. The brain stitches that data together so you can ask cross-system questions. HubSpot knows about your clients. Xero knows about their invoices. Workable knows about the people you've hired for them. The brain lets you say, 'show me clients where we haven't invoiced in 30 days', and it pulls from all three.
- Orla Keane NoneRight, so it's not storing a copy of all that data?
- Ollie Pearson NoneIt's running inside your Snowflake account, so the data is yours. We're not hosting it or storing it anywhere else. Every night, the connectors we set up pull fresh data from HubSpot, Xero and Workable. By 07:00 the next morning, the brain has the latest picture. You ask questions against that data.
- Ciara Joyce NoneAnd it's secure? That data's not exposed anywhere?
- Ollie Pearson NoneIt lives in your Snowflake account. Only people you invite can access the brain. You control the permissions, you control who sees what. We built it from the ground up to be private.
- Orla Keane NoneGood. Sorry, I know these are basic questions but we have to ask.
- Ollie Pearson NoneNo, absolutely right. OK, so there are three ways to interact with the brain. First is search, natural language. Type a question, get results. Second is chat: you can have a back-and-forth conversation, refine what you're asking. Third is pages, saved searches you can check every day.
- Ollie Pearson NoneLet me walk you through search first. I'll use the brain here and just, let me search for 'applications from Dublin in the last quarter.' Watch.
- Ollie Pearson NoneSo it parsed that, found where the location field in Workable contains Dublin, filtered to the last quarter, and returned a list. Columns are applicant name, role, status: hired, rejected, withdrawn, and date applied. Easy. Now, if I want to refine this, say I only want hired candidates, I can ask a follow-up: 'which of these were hired?'
- Ollie Pearson NoneSee? It kept the context and narrowed the results. That's the chat interface. You ask, it answers, you ask follow-ups. Now let me show you pages. Pages are saved searches that live on your home screen.
- Orla Keane NoneCould we have a page for, like, 'new clients this month'?
- Ollie Pearson NoneAbsolutely. In fact, let me build that for you right now. So I'll create a page, name it 'New Clients This Month', and I'll set the search to 'show me all clients created in July.' I'll save it. Now it appears on your dashboard. Every morning you open the brain, that page is there with today's number.
- Ciara Joyce NoneAnd it updates automatically?
- Ollie Pearson NoneYep. Every time the data refreshes, that's overnight, the page updates. So if you check it on Monday morning, it's showing July's new clients as of that morning.
- Orla Keane NoneThat's genuinely useful. What else can pages do?
- Ollie Pearson NoneYou can pick the columns: so maybe you want client name, contact name, their region, the date they signed. You can sort by any column, you can filter on any field. You can drill down, click on a client name and see all their invoices or all the roles you've filled for them.
- Ollie Pearson NoneNow, on Starter you can't build pages yourself, I build them for you, but on Growth you get the dashboard builder and you can do it. That's one of the reasons people upgrade. You can make your own views without asking me to do it.
- Ciara Joyce NoneIs that hard? The dashboard builder?
- Ollie Pearson NoneNo, it's point and click. You drag columns in, set filters, it's straightforward. But you've got me for now, so if there's a page you want, just tell me and I'll build it. Let me create a couple of templates for you. So 'New Clients This Month', done. How about 'Invoices Outstanding Over 30 Days'?
- Orla Keane NoneYeah, that would be good.
- Ollie Pearson NoneRight, I'll set that up. Query is 'show me invoices from Xero where the due date is more than 30 days ago and the status is outstanding.' I'll save it. That's on your dashboard now. Every morning you see which invoices are going overdue.
- Ollie Pearson NoneWhat else would be useful to track? Anything from your side?
- Orla Keane NoneUm, maybe clients by region? Just so we can see where we're strong and where we're weak?
- Ollie Pearson NoneEasy. That's a grouping page...'Show me all clients, group by region, count them.' I'll set that up. So you'll see Dublin has 20, Cork has 12, Galway has 30, whatever the numbers are. Gives you a quick read on where you're doing well.
- Ciara Joyce NoneThis is really slick. So the process is, we come to you and say 'can you build us a page that shows X?', and you do it?
- Ollie Pearson NoneThat's it. Email me, or Slack me, we can set up Slack notifications if you want, and I'll build it. Takes me 10 minutes usually. You'll have it by the next day.
- Ollie Pearson NoneNow, let me cover a few housekeeping things. Your contract is Starter, 15 users, four connectors. That means 15 people can log in. You've got HubSpot, Xero, Workable and one spare slot. If you ever need more users or more connectors, that's an add-on we can sort.
- Ollie Pearson NoneData refresh, nightly, complete by 07:00 Irish time. If you're running a report at 06:30 in the morning, it's yesterday's data. By lunchtime, today's data is in. If something ever doesn't look fresh, you know you've invoiced someone and it's not showing up, let me know and we'll dig in.
- Orla Keane NoneAnd if something breaks?
- Ollie Pearson NoneEmail the support address, or flag it to me. Starter gets a response within 4 business hours. If it's urgent, message me directly and I'll turn it around faster.
- Ciara Joyce NoneOK. And training-wise, is this it, or will we do more?
- Ollie Pearson NoneThis is the formal one. After this, you're on your own, I'm on email if you get stuck. I'd recommend you try a few searches, get comfortable with the interface, ask each other questions. In a month, after you've been using it, let me know what's working and what's not, and we can do a check-in call. Does that make sense?
- Orla Keane NoneYeah, that's good. I think you've covered everything.
- Ollie Pearson NoneRight. I'll send you all the docs: search syntax guide, help articles, my email. You've got me if you need anything. Cheers, both.
