What this says
Current to 13 Oct 26First onboarding session on 22 Jul 2026 with Orla Keane and Ciara Joyce. Three connectors agreed on Starter: HubSpot, Xero and Workable, leaving one of four unused. Ciara is the admin. Next session booked for the following Wednesday.
What happened: Ollie Pearson walked Orla and Ciara through the brain and agreed the first sources. HubSpot, Xero and Workable go live first, with API tokens to be generated by Ciara in about 20 minutes.
Customer view: Both were keen to get started. Ciara said they had had the brain for a couple of weeks and wanted to put it to work.
Commercial: Starter includes four connectors and 15 users, so one connector is still free. Call recordings are spread across the phone line and a separate meeting recording tool with no single system, so the fourth source is not obvious yet.
Watch: Early value depends on the connectors going live before the Wednesday session. Training is promised in a couple of weeks once the data has settled, and Ciara is the single admin, so she is a key-person dependency.

Next steps
Current to 9 Oct 26- Ollie Pearson to send the connector docs and the Wednesday invite after the call.
- Ciara Joyce to generate the three API tokens and enter them in the brain's settings page.
- Ollie Pearson to run a training session once the data has settled.
Risks
Current to 9 Oct 26- Ciara Joyce is the only named admin, so connector setup depends on one person.
- Call recordings are split across a phone line and a separate recording tool, so there is no obvious fourth source.
- Value is not shown until the three connectors are live and the data has settled.
Opportunities
Current to 9 Oct 26- One of the four Starter connectors is unused and can be added once the first three show value.
- A training session on search and pages can deepen adoption of the brain.
Transcript
- Ollie Pearson NoneGood morning, Orla, Ciara. How are you both doing?
- Orla Keane NoneMorning, Ollie. Yeah, we're good. Really looking forward to getting this up and running.
- Ciara Joyce NoneYeah, excited. We've had the brain sitting there for a couple of weeks now and we're keen to put it to work.
- Ollie Pearson NoneRight, brilliant. So this is our first proper session together. What I want to do is walk you through how the brain works, then we'll set up your connectors: so linking your CRM, recruitment records, invoicing, and by the end we should have the first data flowing through. Ciara, you're taking the admin role on our side?
- Ciara Joyce NoneYes, that's me. Happy to be the point person for connectors and data setup.
- Ollie Pearson NonePerfect. So let me pull up the dashboard. The brain is sitting inside your Snowflake account, it's your data, we're just building the queries on top. You've got 15 users licensed, four connectors included on Starter. What systems do you want to start with?
- Orla Keane NoneSo we use HubSpot for client accounts, Xero for invoicing. Beyond that, Ciara, what else?
- Ciara Joyce NoneWe've got an ATS: that's our applicant tracking system: and then spreadsheets for some of the invoice tracking, but Xero is the source of truth there. I'm guessing we can plug those in?
- Ollie Pearson NoneXero and HubSpot, absolutely, both on the connector list. The ATS might depend on which platform you're on. Which one is it?
- Ciara Joyce NoneWorkable.
- Ollie Pearson NoneRight, Workable, we've got a connector for that. So three connectors live. That leaves you one more. Anything else you'd want linked, Slack, emails, call recordings, that sort of thing?
- Orla Keane NoneWe do have call recordings from, actually, Ciara, do we record calls through something other than just our phone system?
- Ciara Joyce NoneMost calls come through our standard phone line, but some client pitches are recorded in Zoom. I don't think we've got a single system for all of that.
- Ollie Pearson NoneFair enough. For now, stick with HubSpot, Xero and Workable. Once you've seen the value in those, once you're getting questions answered that were hard before, we can always add more. The real win is depth in a few systems rather than shallow breadth.
- Ciara Joyce NoneThat makes sense. So what do I need to do to turn those on?
- Ollie Pearson NoneI'll send you three API tokens to generate and three URLs. It's straightforward, HubSpot's a standard oauth flow, Xero and Workable are both API keys. You'll go into each system, generate them, drop them in the brain's settings page, and they're live. I'll walk you through each one step by step in an email. Shouldn't take more than 20 minutes total.
- Ciara Joyce NoneOK, I can do that. What happens next?
- Ollie Pearson NoneOnce the connectors are live, the brain will start pulling in data. First sync usually takes a few hours: so all your clients, roles, invoices, applicants, that lot. Then it runs nightly after that, fresh by 07:00 next morning. We've got a data freshness target of overnight turnaround, which we hit on Starter tier.
- Orla Keane NoneAnd then people can just ask it questions?
- Ollie Pearson NoneExactly. The brain surfaces search, so someone can type 'show me all invoices from clients in the west of Ireland' or 'who are the applicants we've rejected in the last month?' Natural language search. There's also a chat interface, and you can build pages, snapshots of data you check every day.
- Ciara Joyce NoneDo people need training on that, or is it pretty intuitive?
- Ollie Pearson NoneI'll run a proper training session in a couple of weeks once the data's settled. We'll cover the search syntax, how to read the results, how to build a page if you want to get fancy. For now, the connectors are the task. Once those are live, give us a couple of days for the data to settle and then we'll hop back on.
- Orla Keane NoneSounds good. When's the next session?
- Ollie Pearson NoneLet's book it for next week, Wednesday or Thursday? Give you time to get the connectors done.
- Ciara Joyce NoneWednesday works for us.
- Ollie Pearson NonePerfect. I'll send you the connector docs and the Wednesday invite now. I'm in the notes if you hit any snags with the APIs. Cheers, both.
- Orla Keane NoneThanks, Ollie. Speak soon.
