What this says
As at Fri 9 Oct 2026Onboarding call on 9 Mar 2026, inside the eight-week Growth plan. Connector order agreed (CRM, helpdesk, shared mailboxes, then risk and finance tables). Katrin wants auditable sources; risk flag meanings and finance sign-off are still open.
What happened: Hamza Akhtar ran the onboarding call with Katrin Vogelsang and Jonas Albrecht. They agreed the connector order and the owners for each action.
Customer view: Katrin wants evidence of data location and a source for every answer, because an auditor will ask. Jonas wants a failed-load alert he has seen fire and a read-only CRM profile.
Commercial: Katrin confirmed contract end 2 Feb 2027 and renewal on 3 Feb 2027, and finance has no invoice question. Single sign-on is an Enterprise feature and is not in this Growth order form.
Watch: Only about two users are active against 40 licensed. The risk flag meanings are undocumented, and finance approval for the settlement tables is not yet in writing.

Next steps
As at Fri 9 Oct 2026- Hamza Akhtar to send the five documents in one email the day after the call, and ask Elena to introduce herself.
- Jonas Albrecht to get the risk flag meanings confirmed by the risk team by Thursday of the following week.
- Hold a short review call the following Wednesday afternoon on the definitions and the first connector.
Risks
As at Fri 9 Oct 2026- The risk flag meanings are undocumented, so the risk status part of the merchant view cannot go live until the risk team confirms them.
- Only about two of 40 licensed users are active, so adoption depends on the account manager rollout.
- Finance approval for the settlement tables is not yet in writing, which could delay the last connector.
Opportunities
As at Fri 9 Oct 2026- Single sign-on is an Enterprise feature the customer asked about, which is a possible upgrade conversation.
- Extending to another data region was raised as a possible later commercial conversation through Matteo.
- The 40 licensed users leave plenty of room for the account manager and merchant risk groups.
Transcript
- Hamza AkhtarHello, hello. Can you hear me all right? I think I'm a bit quiet on my side.
- Katrin VogelsangYes, good afternoon Hamza. I can hear you well. Jonas, are you there?
- Jonas AlbrechtHere. Audio is fine. Camera stays off, the laptop is struggling today.
- Hamza AkhtarNo problem at all. Cold in Frankfurt? It's properly grey here, I've had the lights on since breakfast.
- Katrin VogelsangGrey and wet. Very normal for March. Before we begin, I have sent a short agenda to both of you, and I will take the minutes as usual. To be precise, I have four points: the access to Snowflake, the connectors and their order, the EU region question, and who owns what after today.
- Hamza AkhtarPerfect, that matches what I had. I'd add one small thing at the end, which is how we handle the first week of users. But that fits under owners, I think.
- Katrin VogelsangYes, I will put it under point four. Please go ahead.
- Hamza AkhtarSo, quick recap of where we are. You signed on 3 Feb 2026, Growth tier, the order form is fifty thousand a year, and you've got forty users licensed. We're about five weeks in, and the implementation plan runs for eight weeks in total, so we're inside it, not behind.
- Katrin VogelsangFifty thousand, forty users, that is also what I have in my notes. Good. And the source for the eight weeks is the implementation schedule in the order form?
- Hamza AkhtarYes, it's in the order form and repeated in the plan I sent after the kickoff. I can resend it to you if it helps for the minutes.
- Katrin VogelsangPlease. I would like it attached to the minutes.
- Hamza AkhtarWill do. Jonas, you opened the Snowflake side last week, I think. Where did that land?
- Jonas AlbrechtShort version. Dedicated database created, in the EU region account. Service role created, least privilege, read on the source schemas, write only on the brain's own schema. I checked the load history after the first test run. Clean.
- Hamza AkhtarThat's great, that's the part that usually takes a fortnight of back and forth. Did you hit any snags with the network policy?
- Jonas AlbrechtOne. Our policy blocked your first connection. That is a schema change on our side, not yours, so I fixed the allow list. Then it worked. One ticket, closed.
- Hamza AkhtarYes, I saw the ticket come through, and it was answered quickly. Thanks for the clear write-up on it.
- Katrin VogelsangJonas, which role has access to that service role at present? I need it for the audit file.
- Jonas AlbrechtWhich role has access, right. Me and one deputy, nobody else. Two admins in total. I will export the grants and send them as a document. I will not paste them in chat.
- Katrin VogelsangGood. A document is exactly what I want. Please also note the date of the export.
- Jonas AlbrechtWill do.
- Hamza AkhtarSorry, give me a second, I'm just pulling up the plan so we're all looking at the same list. Right. Connectors. This is the bit I'd like us to agree today.
- Katrin VogelsangYes. What is the order you propose, and what is the reason for it?
- Hamza AkhtarSo the reason is value early. You told us at kickoff the whole point is that merchant account managers and merchant risk look at one view of each merchant. So I'd start with the CRM, because that's where the merchant list and the account managers live. Then the helpdesk, so the merchant tickets sit alongside. Then the mailboxes, and then the finance data.
- Katrin VogelsangWhich CRM do you mean, to be precise? We use Salesforce for the merchant accounts, but the risk team keeps their own flags elsewhere.
- Hamza AkhtarSalesforce, yes. And the risk flags, where do they sit? Is that in a Snowflake table already?
- Jonas AlbrechtYes. The risk flags are in Snowflake already, a nightly table from the risk engine. So no connector needed. You read it straight from the schema, if I give the role read access.
- Hamza AkhtarOh, that's helpful, that saves us a connector slot and a fair bit of time. Is the table documented? Column names, what the flags mean?
- Jonas AlbrechtPartly. Column names yes. Meanings, no. That lives in a wiki page nobody has touched in months. I will not hand you a table with guesses.
- Katrin VogelsangThen this is an action for us, Jonas. The meanings must be written down before the brain answers any question about risk. What is the source of the meaning? It should be the risk team, not an assumption.
- Jonas AlbrechtAgreed. I will ask the risk team lead to confirm the meanings. I'll set a deadline for next week.
- Katrin VogelsangLet us agree the next step: the definitions by Friday of next week, and I will note it in the minutes.
- Jonas AlbrechtNot Friday. I do not like changes on a Friday and I'd rather not promise sign-off on one. Thursday.
- Katrin VogelsangThursday, then. Noted.
- Hamza AkhtarBrilliant. So the helpdesk. What are you running there, Zendesk?
- Katrin VogelsangZendesk for the merchant support, yes. The internal IT tickets are a different tool and I do not think we need them.
- Hamza AkhtarNo, you don't, that would only add noise. Zendesk it is. And mailboxes, Microsoft 365?
- Jonas AlbrechtMicrosoft 365, yes. But I want to be careful there. Which mailboxes? Not all of them. Shared mailboxes for merchant operations only, to begin with.
- Hamza AkhtarThat makes sense to me. Start narrow, widen later if it's useful. Katrin, is that your view as well?
- Katrin VogelsangYes. Shared mailboxes only. Individual mailboxes would need a conversation with our data protection officer first, and I would like to have that conversation with a proper written question, not on a call.
- Hamza AkhtarFair. I can draft that question with you, if it helps. We've done it for other customers and the wording is quite standard.
- Katrin VogelsangThat would help. Please send me a draft and I will adapt it.
- Hamza AkhtarNoted. Sorry, I'm writing that down so I don't lose it. Right, the finance data. What's the accounting system?
- Jonas AlbrechtFinance data is in Snowflake as well. Monthly settlement tables. Another schema, another role. I will grant read on it, once finance has approved. That is not mine to approve.
- Katrin VogelsangFinance have approved in principle, but I do not have it in writing. To be precise, I should not say approved until I have the note.
- Hamza AkhtarThat's the right way round, honestly. So finance goes last in the order anyway, which gives you a bit of time to get the note.
- Katrin VogelsangYes. Then I will request the written note this week.
- Hamza AkhtarOkay, let me share my screen, so you can see the connector list as I have it. Can you see it? Just the plan page.
- Katrin VogelsangYes, I see the plan. The text is small, but I can read it.
- Jonas AlbrechtSame. Readable.
- Hamza AkhtarSo the order is CRM first, then the helpdesk, then the shared mailboxes, then the Snowflake tables for risk and finance. Each one has a go-live window next to it, and I'm tying those to the order form commitment, so if one slips I'll tell you straight away rather than at the end.
- Katrin VogelsangGood. The order form commitments, I want them in the minutes verbatim. Can you send me the exact wording of the clause?
- Hamza AkhtarI can send the clause reference and the plan. For the legal wording itself, I'd rather you take it from the executed order form, because that's the document that governs. I don't want to paraphrase a contract for you.
- Katrin VogelsangThat is correct. I will take it from the executed copy.
- Jonas AlbrechtQuestion on the CRM connector. What does it write back? Anything?
- Hamza AkhtarNothing. It's read only. It lands the records in your Snowflake account, in the brain's schema, and that's it. Nothing goes back into Salesforce.
- Jonas AlbrechtGood. Then the integration user in Salesforce needs a read profile only. I will ask the CRM admin to create it. Not a copy of an existing user.
- Hamza AkhtarPerfect. And if it helps, I'll send a short note listing the objects we read, so your CRM admin can scope the profile properly.
- Jonas AlbrechtYes. List the objects. Fields too, if you have them.
- Hamza AkhtarObjects and fields, got it. You'll have it by tomorrow.
- Katrin VogelsangLet us move to point three, the EU region. This is the point my compliance colleagues ask me about most. Where does the data physically sit, and what is the evidence?
- Hamza AkhtarSo, the brain runs inside your Snowflake account, not ours. That's the key thing. The data stays where your account is, and your account is in the EU region. Our software runs against it there. We don't copy your merchant data out into some separate environment of ours.
- Katrin VogelsangI understand the principle. But the auditor will ask for the evidence, not the principle. What is the source?
- Jonas AlbrechtI can answer part of that. The account region is visible in the account settings. I will take a screenshot of that and add the account locator, with the date. That is the evidence for where the data sits.
- Hamza AkhtarAnd from our side I can send the data residency section from the order form and a short description of how the processing works. Then you'd have both halves, yours and ours.
- Katrin VogelsangBoth halves. Good. That is what I need. Please do not send me marketing text. A factual description.
- Hamza AkhtarFactual only. Understood.
- Katrin VogelsangOne more question on this. If we later want to extend to another region, what happens?
- Hamza AkhtarThat's a commercial conversation, not a technical blocker, and it would go through Matteo as your account owner. I wouldn't want to promise anything on a call. But there's no technical reason you couldn't.
- Katrin VogelsangUnderstood. For the moment we need only the one region. I wanted to know the door is not closed.
- Jonas AlbrechtBaFin would ask the same question, to be fair. Where is it, who can touch it, how do you prove it.
- Katrin VogelsangExactly. Where, who, and the proof.
- Hamza AkhtarOkay. Let me check the time, we're about halfway. Anything else on the access side before we go to people?
- Jonas AlbrechtOne thing. Refresh. When does the nightly refresh run, and what do I see if it fails?
- Hamza AkhtarIt runs overnight and should be complete before the start of your business day, that's the commitment for every tier. If a run fails, there's a status page inside the brain's admin area, and you'd see the failed connector and the last good load. I'll show you in the next session, once there's something to see.
- Jonas AlbrechtGood. I would like an alert, not a page I have to check. Can it email the admin mailbox?
- Hamza AkhtarYes, you can set a notification address for failed loads. I'll include the steps in the notes.
- Jonas AlbrechtFine. Then I will test it with a deliberate failure on the test schema. I do not trust an alert I have not seen fire.
- Katrin VogelsangThat is also a good item for the minutes. Alert tested by Jonas, date to follow.
- Hamza AkhtarRight, point four. People. Who owns what. I'll say what I think and you correct me. Jonas owns the Snowflake side and is the admin. Katrin is the business owner and the person who decides what good looks like for the merchant view. I'm your day to day contact for the build, and Elena, your CSM, picks up once we're live.
- Katrin VogelsangYes. That is correct. And Elena joins us when?
- Hamza AkhtarShe'll join the handover session at the end of the implementation, and then she runs the first check-in with you. I can ask her to introduce herself by email before then, so it's not a stranger on the day.
- Katrin VogelsangI would appreciate that.
- Jonas AlbrechtUsers. How many are live right now?
- Hamza AkhtarOn average about two active at the moment, which is you two basically, and that's what I'd expect at this stage. Nobody else has been invited yet, I think. You've got forty licensed, so there's plenty of room.
- Katrin VogelsangI would like to introduce users in two groups. First the account managers, who have the most to gain. Then merchant risk, after the definitions are agreed. Otherwise they will see flags without meaning.
- Hamza AkhtarI think that's a really sensible way round. Account managers first, with the CRM and helpdesk in the brain, then risk once the table definitions are signed off. And that lines up with Thursday.
- Jonas AlbrechtSingle sign-on? Do they log in with our directory?
- Hamza AkhtarOn Growth, users are invited and log in with their own credentials. Single sign-on is a feature of the Enterprise tier, so it's not in your order form. I don't want you planning around something you haven't got.
- Jonas AlbrechtNoted. Then the invite list has to be maintained by hand. I will want an export of who is invited, for the access review.
- Hamza AkhtarThere's a user list you can export from the admin area. I'll show you.
- Katrin VogelsangFor the minutes: no single sign-on in this tier, user list reviewed by Jonas. Is that fair?
- Jonas AlbrechtFair. Quarterly review. I'll put it in the calendar.
- Katrin VogelsangOne thing I want to raise, because I would rather say it now. In the kickoff I understood that account managers would see a merchant view with the last contacts, the open tickets and the risk status in one page. Is that what the first version gives us?
- Hamza AkhtarYes, that's the target, and I think it's achievable. The pages in the brain pull the CRM record, the tickets and, once it's connected, the risk table. What I'd be honest about is that the risk status piece depends on those definitions. Without them I'd rather leave it off than show something that's ambiguous.
- Katrin VogelsangThat is the right answer. I would rather have it later and correct.
- Jonas AlbrechtAgreed. I don't want a column the brain explains wrongly in front of a regulator.
- Hamza AkhtarCompletely. And just so it's clear, the brain tells you which source an answer came from, so Katrin's question about the source is built in. People can click through.
- Katrin VogelsangGood. That is important. I need to be able to show an auditor the source of any answer.
- Hamza AkhtarOkay. Slight tangent, but is there anything about the contract or the dates you want to confirm while we have everyone? You're contracted until 2 Feb 2027, and the renewal date on our side is 3 Feb 2027. I just want to make sure those match your records.
- Katrin VogelsangI have the end of the contract as 2 Feb 2027. And the renewal on the day after. Yes, that matches.
- Hamza AkhtarGreat. And invoicing is fifty thousand a year, in line with the order form, nothing overdue as far as I can see. If your finance team has any question, send them to Matteo.
- Katrin VogelsangFinance have no question at present. I will tell them to use Matteo if one comes.
- Jonas AlbrechtOne more technical item. Warehouse sizing. Your jobs run on which warehouse? I do not want them competing with the reporting queries at month end.
- Hamza AkhtarIt's a separate warehouse that we ask you to create for the brain, small to start. You control the size and the auto-suspend, so you control the cost. I'd start small and look at the load history after the first couple of weeks.
- Jonas AlbrechtSmall, auto-suspend short. I will create it today and name it so finance can see it on the bill.
- Hamza AkhtarPerfect. That also helps Katrin if somebody asks what the brain costs to run on your side.
- Katrin VogelsangYes, that is a question I will get. A separate name makes it easy to answer.
- Hamza AkhtarOkay. Let me read back the actions, and you tell me if I've got any wrong. Jonas, one: export the grants as a document with the date, and the screenshot of the account region. Two: ask the risk team lead to confirm the flag meanings, by Thursday of next week. Three: create the warehouse and the read profile in the CRM, once I've sent the objects and fields. Four: test the failed load alert.
- Jonas AlbrechtCorrect. The alert test I will do on a weekday, not Friday. I'll tell you when.
- Hamza AkhtarUnderstood. Katrin, yours: get the written note from finance on the settlement tables, take the contract wording from the executed order form, and decide the mailbox question with your data protection officer, with my draft. And the first group of account managers, you'll send me names when you're ready.
- Katrin VogelsangYes. And I would add one for you: the resend of the implementation plan, the clause reference, the objects and fields, the draft question for the data protection officer, and the data residency section. Five documents. I will list them in the minutes so that nothing is lost.
- Hamza AkhtarFair, that's a good list. I'll send them all together tomorrow, in one email, so you can attach it to the minutes in one go. And I'll ask Elena to say hello.
- Katrin VogelsangGood. Then let us agree the next step: a short call next week, same time, to review the definitions and the first connector. Is that possible for both of you?
- Jonas AlbrechtPossible. Not before Wednesday though. I'll have the CRM profile by then, if the admin cooperates.
- Hamza AkhtarWednesday afternoon works for me. I'll send the invite once I've had your confirmation by email, Katrin.
- Katrin VogelsangI will confirm today, together with the minutes.
- Hamza AkhtarBrilliant. Anything else anyone wants to raise? Anything that's been sitting at the back of your mind?
- Jonas AlbrechtNo. Only that the first connector should be boring. If it is boring, I'm happy.
- Hamza AkhtarBoring is exactly what I'm aiming for. Honestly, boring is the goal for an implementation.
- Katrin VogelsangFrom my side nothing. Thank you both. It was structured and clear, and I have what I need for the minutes.
- Hamza AkhtarThanks, Katrin, and thanks Jonas, really useful call. The Snowflake groundwork you've done makes my life a lot easier. Speak Wednesday.
- Jonas AlbrechtWednesday. Bye.
- Katrin VogelsangGoodbye to you both, and thank you. Bye for now.
