What this says
As at Fri 9 Oct 2026Tom Ashdown proposed a small user expansion on Growth for £2,742. Ruth Ackroyd says the brain is working and wants an itemised page. Stuart Kenyon will not sign without her view. Signature is pencilled for 10 Jul 2025.
What happened: Tom put an expansion on top of the Growth subscription (40 licensed users) to Ruth and Stuart. It comes to £2,742, and Tom said he would confirm the split in writing.
Customer view: Ruth says she can now find a customer's order, quality ticket and sales call in one place. She wants the figure itemised and will not accept an estimate as a fact.
Commercial: Tom wants the expansion to share the existing term, which runs to 30 Nov 2025, so the renewal on 1 Dec 2025 stays one conversation. Stuart wants one date and, if possible, one invoice; Tom would only ask finance.
Watch: the call does not show whether £2,742 is annual or one-off. Ruth also wants the new users kept away from customer pricing and audit folders.

Follow-up
Next steps
As at Fri 9 Oct 2026- Tom Ashdown to send Ruth the itemised page by Wednesday.
- Tom to ask finance whether one invoice is possible.
- Tom to book a short follow-up after Ruth and Stuart have read the page.
Risks
As at Fri 9 Oct 2026- Ruth will not accept the amount without an itemised page, so a late or vague page could stall signature.
- Stuart signs only after Ruth is content, so the deal rests on her view.
- New users could see customer pricing or audit folders if permissions are not set up carefully.
Opportunities
As at Fri 9 Oct 2026- More customer operations and quality staff want access, which extends the Growth subscription.
- Bringing the expansion into the existing term sets up a single renewal conversation on 1 Dec 2025.
Transcript
- Tom AshdownHello, hello. Can you hear me all right? I've got the little bar jumping about so I think we're live.
- Ruth AckroydYes, we can hear you. Stuart's just sat down. Give him a second.
- Stuart KenyonI'm here. What do you need from me?
- Tom AshdownHa, straight in. Nothing heavy, Stuart, honest. How's your week been, the pair of you? Busy?
- Ruth AckroydBusy. We had an audit visit Thursday, so it's been a lot of paper. It went fine. Right first time, mostly.
- Tom AshdownMostly's good. Well, thanks for making time over lunch. I know it's a awkward slot. I'll try and keep it tight.
- Ruth AckroydWhat's changed since we last spoke? I've had a look at the thing you sent over, but I'd rather hear it from you.
- Tom AshdownFair enough. So, where we are. You're on Growth, forty licensed users, and you've been running since December last year. Daniel tells me the usage has been creeping up, which is lovely to see, a handful of regulars asking the brain things most days.
- Stuart KenyonRuth will tell me if it's working. Is it working, Ruth?
- Ruth AckroydIt's working. Which customer, which part, I can pull it up in one place now. Before, I was asking three people. Order, the quality ticket, and what the sales engineer said on the call.
- Stuart KenyonGood. Then what's the proposal?
- Tom AshdownRight. So it's a small one, to be fair. You've told us a few more people in customer ops and quality want to get in, and you're bumping against the edge of what the team can see. The proposal is an expansion on top of what you've got, and it comes to £2,742. I'll confirm that in writing, I don't want you holding me to a number off the top of my head.
- Ruth AckroydIs that for the year or one off?
- Tom AshdownGood question. That's the total value of the expansion deal as it's written up. I'll set out in the paperwork exactly how it's split, so there's no guessing. Leave that with me.
- Ruth AckroydSend me the evidence. I don't accept an estimate as a fact, so I'd like it itemised.
- Tom AshdownItemised, no drama. You'll have it.
- Stuart KenyonWhat does it save us? I'm not being funny. Somebody's going to ask me.
- Ruth AckroydTime, mainly. When a customer rings about a late order, my people were opening four systems. If more of the team can ask the brain, that's less chasing. And the quality escapes get seen sooner.
- Stuart KenyonFine. Keep it simple, then. Is it more users on the same setup, or are we adding new systems?
- Tom AshdownSame setup. Same connectors, same Snowflake account, nobody has to move anything. It's just more people through the door. Nothing new to install on your side.
- Ruth AckroydRight. And it won't touch the renewal.
- Tom AshdownWell, that's the other thing I wanted to say. Your term runs to 30 Nov 2025, renews 1 Dec 2025, and we'd normally sit down about that nearer the time. I'd like to bring this expansion in so it doesn't make a mess of that. Same end date, one conversation later in the year.
- Stuart KenyonThat I like. One date, one invoice if possible.
- Tom AshdownI'll see what finance can do on that. I won't promise one invoice, but I'll ask the question properly.
- Ruth AckroydWho would the new people be? Because I'll want to be sure they don't see things they shouldn't. Customer pricing, say, or the audit folders.
- Tom AshdownSensible. That's down to how you set up the permissions on your side, and Nathan would know that better than me. Daniel can walk him through it.
- Ruth AckroydNathan's fine. He'll do it right first time.
- Tom AshdownGood. Look, can I share my screen? Easier if you can see what the order form change would look like. Just a sec. Can you see it?
- Stuart KenyonI can see a table. It's small, my eyes are going.
- Tom AshdownSorry, bumping it up. Better? So, top line is what you've got, Growth, forty users. Underneath, the added users and the amount. And that's it. I've not hidden anything in a footnote.
- Stuart KenyonFine. I've read enough of that.
- Ruth AckroydI still want the itemised version. Then I can show Stuart in one page.
- Tom AshdownOne page. Understood.
- Stuart KenyonWhen do you need an answer by?
- Tom AshdownI've pencilled Thursday 10 July 2025 as where we'd like to be signed. No pressure beyond that, it's what's in my diary. If it slips a week, it slips.
- Ruth AckroydThat's about a month. I can do that, as long as the page is with me this week.
- Stuart KenyonAnd Ruth's view comes first. I don't sign without it.
- Tom AshdownWhich is the right way round, honestly. So, next steps. I'll send the itemised page by Wednesday, and I'll ask finance about the single invoice. Ruth, you go through it with Stuart. Let's get something in the diary for a follow-up, shall we, a short one?
- Ruth AckroydMake it after we've both read it. I'll tell you what's missing.
- Tom AshdownBrilliant. Cheers both, thanks for your time. Enjoy the rest of the day.
- Stuart KenyonRight, bye.
