What this says
As at Fri 9 Oct 2026Training call on 31 Mar 2026 with Dana Whitaker alone, recorded for her managers. Contracts indexing is incomplete and only a handful of the forty seats are active. Her CEO wants weekly questions-asked counts.
What happened: Hamza Akhtar trained Dana Whitaker on 31 Mar 2026. She attended alone because the regional managers had tenant meetings, so the session was recorded for them.
Customer view: Dana opened sceptical and finished saying it was more useful than she expected. The source links on answers convinced her more than the slides she had been sent.
Commercial: Only a handful of the forty licensed seats were active in the last month. Her CEO wants a weekly count of questions asked, and the contracts index was still partial.
Watch: The invoices were not discussed and Dana said finance was sorting them out. The managers have not yet been seen using the brain.

Next steps
As at Fri 9 Oct 2026- Hamza Akhtar to check the indexing that night and tell Dana the next day what is outstanding.
- Hamza Akhtar to send a weekly note of questions asked and who is active, starting the following week.
- Dana Whitaker to ask the brain one real question each day and arrange a half-hour admin call for her coordinator.
Risks
As at Fri 9 Oct 2026- Only a handful of the forty licensed seats were active in the last month and the regional managers did not attend.
- The contracts folder is only partly indexed, so contract questions cannot yet be answered in full.
- The CEO is asking about value and will judge it by questions asked.
Opportunities
As at Fri 9 Oct 2026- The dashboards builder with a region filter would save a manager an hour and gives Dana something to send up the line.
- The recorded session and shared pages can bring the regional managers and the coordinator in as active users.
Transcript
- Hamza AkhtarHi Dana, good afternoon. Can you hear me?
- Dana WhitakerHi, yes, I've got you. Morning here still, I keep forgetting. Give me a second, I'm just closing a few things.
- Hamza AkhtarTake your time. I'll bring up the workspace.
- Dana WhitakerOkay, I'm back. It's just me today, I should say. I tried to get the regional managers into the same slot and a couple of them had tenant meetings. I'm sorry, I know you prepared for a group.
- Hamza AkhtarDon't apologise, it happens. It means I can go slower with you, and I'll record this so they can watch it afterwards. Is that all right?
- Dana WhitakerThat's fine. Actually that's better, they'll watch a recording more readily than they'll sit through a live one.
- Hamza AkhtarOften true. Before we start, a quick catch-up. Last time we had three things: the drive permissions, the names for the small group, and an admin. How did those land?
- Dana WhitakerThe drive came through last week, a colleague in IT sorted the permissions in the end. I gave you the names, and the admin is our operations coordinator, she's been invited.
- Hamza AkhtarGood, she's in the list. I can see she's logged in once. The contracts folder is connected and indexing, though I'd say not everything has been picked up yet. It's working through them.
- Dana WhitakerSo can I ask it about contracts today?
- Hamza AkhtarYou can ask, and I'll show you where the edges are. That's part of what I want to cover, so you know what you can trust.
- Dana WhitakerFair enough.
- Hamza AkhtarOne more thing before I start, and then I'll leave it alone. Did Elena get back to you about the invoices?
- Dana WhitakerShe did. We're sorting it out between her and our finance team. I don't want to spend this call on it.
- Hamza AkhtarUnderstood. I'll leave it there. Right, let me share. Can you see a page with a big search box at the top?
- Dana WhitakerI can.
- Hamza AkhtarThat's home. There are three ways to get answers, and I'd like to be clear about which is which, because people mix them up. There's chat, which is where you ask in plain English. There's search, which finds the actual records, a ticket or a call or a contract. And there are pages, which are saved answers you can share.
- Dana WhitakerWhat's the difference between chat and search? They look the same to me.
- Hamza AkhtarThey look the same, and that's the trap. Search finds things. Chat works things out from several things. If you type a tenant's name into search you get their tickets. If you ask chat what a tenant has complained about this year, it reads the tickets and the calls and gives you a summary, with links back to where each part came from.
- Dana WhitakerSo I should always look at the links.
- Hamza AkhtarAlways, at least at the start. Let's try one. Type: which buildings have had the most repeat tenant issues in the last quarter.
- Dana WhitakerTyping. Okay, sent. It's thinking.
- Hamza AkhtarTakes a few seconds the first time.
- Dana WhitakerRight, it's come back. It's got a list of buildings, some of these I recognise. There's one office block near the top that I'd have guessed.
- Hamza AkhtarGood. Now click the little source link on the first line. What does it open?
- Dana WhitakerA ticket. And, oh, a few tickets. All about the lifts.
- Hamza AkhtarThat's the brain showing its working. If one of your managers says I don't believe it, that's what you send them.
- Dana WhitakerOkay. That's reassuring. Honestly it's more convincing than the slides I was sent.
- Hamza AkhtarSlides are slides. Now try the same sort of question but about contracts: which service contracts are due to renew in the next three months.
- Dana WhitakerSent. Hmm. It says it found some contracts but it can't give me a full list.
- Hamza AkhtarYes, and that's the honest answer. It's saying it can only see part of the folder so far. If it had guessed, you'd have had a confident list with gaps in it, which is worse.
- Dana WhitakerSo when will it be complete?
- Hamza AkhtarI'll check the indexing tonight and tell you tomorrow what's outstanding. Some of the older files are scanned images, and they take longer or need a different route. I don't want to promise a day I can't see.
- Dana WhitakerOkay. I'll take tomorrow though.
- Hamza AkhtarYou've got it.
- Dana WhitakerCan I ask about freshness? If a ticket comes in at lunchtime, is it there at two?
- Hamza AkhtarGood question. No, not at two. The brain refreshes overnight, so what you see in the morning covers up to the previous working day, ready by seven your time. For anything live you still use the helpdesk. The brain is for patterns and context, not for the thing that's on fire.
- Dana WhitakerThat's fine. That's actually what I'd have guessed, but I'm glad you said it.
- Hamza AkhtarWhile you're warmed up, let's try a lease-renewal call, since that's what your leasing leads care about. Search a tenant you know well.
- Dana WhitakerOkay. Found one. It's got a transcript, and a summary above it.
- Hamza AkhtarNow ask chat: what did the tenant say about the renewal terms.
- Dana WhitakerIt's quoting what they said about the rent review and the break clause. That's a bit scary, how accurate that is.
- Hamza AkhtarOnly for the calls it can see, which is the leasing team's so far, as we agreed.
- Dana WhitakerYes, I haven't changed that.
- Hamza AkhtarLet's go to pages. When you get a chat answer you like, you can save it as a page. Try it with the repeat issues one. Click save, and give it a name.
- Dana WhitakerWhat do I call it?
- Hamza AkhtarSomething your managers will recognise. Monday repeat issues, or whatever you'd say out loud.
- Dana WhitakerMonday repeat issues. Okay. Saved. Where does it live?
- Hamza AkhtarLeft menu, under your pages. You can share it with named people, so I'd share it with your regional managers and with the coordinator. Do that now so we know it works.
- Dana WhitakerSharing. It's asking for names. I can type their names. Okay, done.
- Hamza AkhtarGood. They'll each get a notice, and when they open it, that counts as an active user for us, which is the number we care about.
- Dana WhitakerDo they need to do anything to get in?
- Hamza AkhtarOnly that they've been invited, and it sounds like they have. If anyone can't get in, tell me or the coordinator.
- Dana WhitakerOkay.
- Hamza AkhtarA few habits before dashboards. Name the building or the tenant, say the time window, and say what you want back: a list, a summary, a comparison.
- Dana WhitakerSo be specific, like I'm briefing a new analyst.
- Hamza AkhtarExactly like that. The brain is a keen new analyst who has read everything and knows nothing about your habits.
- Dana WhitakerI've worked with a few of those.
- Hamza AkhtarHa. Then you know the drill. Try: summarise open tickets for the building with the lifts, grouped by what the tenant was asking for.
- Dana WhitakerOkay, typing. That's long. Sent.
- Hamza AkhtarAnd while that runs, notice that you can follow up. Just ask next, and which of those are older than a month. It remembers the thread.
- Dana WhitakerOh nice. So I don't start again each time.
- Hamza AkhtarNo. Starting again is what most people do, and then they decide it's not clever. Keep the thread.
- Dana WhitakerIt's grouped them. Access, noise, heating. That's pretty much what I'd have said.
- Hamza AkhtarThere you go. Hold on to that one for your managers.
- Hamza AkhtarLast chunk: the dashboards builder. This is on your plan and it's the bit I think you'll end up liking most, but I'll say it again, don't start here.
- Dana WhitakerWhy not?
- Hamza AkhtarBecause a dashboard is only as good as the questions behind it, and you don't know yet which questions your people ask. Once they've been asking for a few weeks, you'll see the repeat ones, and those make good tiles.
- Dana WhitakerThat's sensible. Show me anyway.
- Hamza AkhtarRight. New dashboard, add a tile, and you pick a saved question. Take the repeat issues one. It gives you a bar chart by building. Rename the tile, and that's it.
- Dana WhitakerThat's easier than I expected. Can it filter by region?
- Hamza AkhtarIt can, if the region is in the data. Is region a field on your tickets?
- Dana WhitakerI think it's on the building record. Not sure it's on the ticket.
- Hamza AkhtarThen it would come through the building. Let me try. Give me a second. Yes, there. See the filter?
- Dana WhitakerYes. Oh, that's good. That would save one of my managers an hour.
- Hamza AkhtarThen that's the one to give them. Save the tile and share the dashboard the same way as the page.
- Dana WhitakerWhile we're here, I should ask about seats. It says forty on the order form, and I think a handful are active. Is that right?
- Hamza AkhtarThere are forty licensed, and you're right that only a handful have been active in the last month. That's normal at this stage, but I don't want to pretend it's fine. What would make me comfortable is to see it climb over the next few weeks, as the managers get used to it.
- Dana WhitakerAnd if it doesn't?
- Hamza AkhtarThen we should talk about why, honestly, you and I and Elena. Whether it's the wrong people, the wrong questions, or a source that's missing. It's usually one of those three.
- Dana WhitakerMy CEO will ask. He asked me again on Friday.
- Hamza AkhtarDid the one-pager help?
- Dana WhitakerIt did. He read it, which is a first. He wants to see the number of questions asked, so if you can get me that each week, that'd be good.
- Hamza AkhtarI can do that. I'll send you a short note every week for a while, questions asked and who's active. Just counts, nothing clever.
- Dana WhitakerGood.
- Hamza AkhtarLet me show you the admin bits, because this is what the coordinator will do day to day. Go to settings, then people.
- Dana WhitakerOkay, I'm in. I can see the whole list. Most of them say invited.
- Hamza AkhtarRight. Invited means they've not opened it yet. You'll see it change as people accept. Your coordinator can resend invites from here, one at a time or a few together.
- Dana WhitakerAnd if I want to take someone off?
- Hamza AkhtarSame page, you remove them and the seat frees up. You're capped at forty, so if you wanted another leasing lead on, someone else would have to come off.
- Dana WhitakerFine. We won't be near that for a while.
- Hamza AkhtarProbably not. One more, and this one matters. If the brain gives a wrong answer, there's a thumbs down on every answer. Tell your people to use it, and to say what was wrong. That goes to us and to your admin.
- Dana WhitakerNot just email you?
- Hamza AkhtarEmail me as well, I'd rather hear twice. But the thumbs down tells us which source, which is what we need.
- Dana WhitakerOkay.
- Hamza AkhtarLet me recap what we did. Chat versus search, saving and sharing a page, a first dashboard tile, and the admin page.
- Dana WhitakerAnd what you need from me.
- Hamza AkhtarTwo things. Ask the brain one real question every day this week, a real one, not a test. And get your coordinator on a short call with me, half an hour, so she's comfortable with the admin page.
- Dana WhitakerI can do both. I'll ask her to send some times.
- Hamza AkhtarGreat. And from my side: the indexing check tomorrow, the weekly note starting next week, and the recording for the managers by end of day.
- Dana WhitakerThanks, Hamza. That was more useful than I expected. Honestly, I came in a bit sceptical.
- Hamza AkhtarThat's fair, I'd have been too. Let's see the numbers move.
- Dana WhitakerWe will. Speak soon.
- Hamza AkhtarSpeak soon. Cheers, Dana.
